Hotel marketing
A practical guide to marketing independent hotels, inns and B&Bs
Hotel marketing is everything an independent property does to fill rooms at a fair rate: being visible in Google’s hotel results and maps, a website and booking engine that make booking direct easy, offers and packages that read clearly, group and wedding sales, and email and reviews that bring past guests back. This page is for owners and general managers of independent and boutique hotels, inns, bed and breakfasts, motels and short-term rental operators who want more direct bookings and less dependence on online travel agencies. Canada Create is a Toronto agency with an office at 126 Willowdale Avenue, Suite 3, serving businesses across Canada, and we plan and run this work with every account in the property’s name.

How travellers and planners search for a stay
A traveller rarely starts with a hotel’s name. They start with a place and a reason: hotels in a city, a hotel near the airport, near a hospital, near a convention centre or stadium, a boutique hotel downtown, a pet friendly hotel with parking, a B&B in wine country, an extended stay with a kitchen. Then they compare a short list on Google and on booking sites before they choose.
What decides the booking
Travellers compare on total price for their dates, location relative to what they came for, the first few photos of the room and bathroom, the rating and recent reviews, and the booking policy. Details such as free parking, breakfast, a quiet room, an elevator, an EV charger or a pet fee often decide between two similar properties. An independent hotel cannot outspend a chain on brand, but it can be clearer, more specific and more personal about these details.
Different guests, different searches
Leisure guests book weeks ahead for summer and long weekends and compare widely. Business travellers book closer to the date, value location, reliable wifi and a desk, and often return to the same property. Families care about room configuration and pools. Wedding guests and sports teams arrive in groups through a planner. Medical and work crews need weekly rates. Each group searches differently, and a marketing plan for a hotel should name which ones matter most to your property.
Planners and corporate buyers
Meeting planners, wedding couples, sports coordinators and corporate travel managers search for group rates, meeting rooms, wedding room blocks and corporate rates near a particular venue or office. They want capacity, room types, availability windows and a fast, specific reply, usually through a request for proposal or an enquiry form rather than an online booking.
Direct bookings and the online travel agencies
Online travel agencies bring a property visibility it could not buy alone, and for many small hotels they are a necessary channel. They also take a commission on every booking, keep much of the guest relationship and train guests to start their search there next time. The aim of most independent hotel marketing is balance, not war: use the agencies for reach, and give every guest a good reason to book direct next time.
Why direct bookings matter
A direct booking keeps the full room rate, gives you the guest’s real contact details (with consent for marketing), lets you set up the stay properly with arrival times, special requests and upsells, and makes it far easier to bring that guest back. A guest who booked through an agency belongs, for marketing purposes, partly to the agency.
Giving guests a reason to book direct
Keep the base room rate consistent across channels, then add value that only exists on your own site: breakfast included, free parking, late checkout, a room upgrade when available, a welcome drink, flexible arrival or a member rate for guests who sign up. Say it clearly on the website, in the confirmation emails and on the property, and train front desk staff to mention it at checkout.
Turning agency guests into direct guests
Once a guest is in the building, the relationship is yours. A warm stay, a card in the room explaining direct booking benefits, consent based sign up for offers at check-in, and a follow-up email after the stay inviting them back direct are the most cost effective direct booking tools a small hotel has.
Google hotel results and your Business Profile
For many travellers, the first view of your hotel is Google: the map, the hotel listing with prices from different sites, photos, amenities and reviews. That listing is often the deciding screen, and it is one a property can shape.
The listing itself
The Business Profile should have the right hotel category, accurate check-in and check-out times, a complete list of amenities (parking, pool, pet policy, breakfast, accessibility features, EV charging), current photos of every room type, the lobby, the exterior by day and night, and anything special about the location. Google Business Profile management keeps this current, including seasonal photos and holiday information.
Showing your own rate next to the agencies
Google’s hotel results can show the property’s own booking link and rate alongside the online travel agencies, usually through a connection made from the booking engine or channel manager. When your direct rate appears there, a traveller can book with you from the same screen. We check whether this connection is in place and working, and whether the direct rate shown matches the website.
Organic search beyond the map
Search engines also send travellers to hotel websites for searches like hotel near a particular venue, hotels with meeting rooms in a town, or pet friendly inns in a region. Well planned pages for your location, nearby attractions, events and guest types answer these. Our SEO service covers this work, and optimization for AI search answers helps assistants describe your property accurately when travellers ask them for suggestions.
The website, booking engine and offers
Every channel ends on the website, and the website ends in the booking engine. If either is slow, confusing or unconvincing on a phone, the traveller goes back to the agency and books there instead.
A site that sells the stay
Room pages with real photos, bed types, square footage, views, accessibility details and what is included. A location page that explains distances to the airport, the convention centre, the hospital, the beach or the trails. Clear policies on parking, pets, check-in and the booking policy. Strong photography matters more in hotels than almost anywhere else, so hotel and room photography and short room walkthrough video are worth the investment.
The booking path
The book now button should be visible on every page, the booking engine should open quickly with dates already chosen where possible, and the number of steps to a confirmed reservation should be as few as the engine allows. The engine should match the site’s look so guests do not feel they have been sent somewhere else. We test the full path on phones and fix where travellers drop out.
Packages and offers
Packages turn a room into a reason to travel: a romance package with dinner, a ski and stay, a theatre weekend, a family package with breakfast and pool passes, a wedding guest rate, a midweek extended stay rate. Each offer needs its own page, its own booking code or rate plan and a clear statement of what is included and what the total will be.
Answering questions before booking
Many guests have a question before they book: is there an elevator, can I bring my dog, is there a crib, can I check in late. An AI chat assistant on the website trained on your own policies can answer at any hour and guide the guest to the booking engine. Our AI chat and automation services explain how that works, with handoff to staff for anything the assistant should not answer.
Meetings, groups and wedding room blocks
Group business fills many rooms at once, often on dates leisure travel leaves empty. For properties with meeting space or a good location near venues, it can be a large part of revenue.
Meetings and corporate groups
Planners need a meetings page with room capacities in different setups, audiovisual equipment, catering menus, breakout rooms and a request form that asks for dates, attendance, room nights and budget. Corporate travel managers want a negotiated rate and a clear contact. LinkedIn is useful for reaching planners, executive assistants and HR teams in nearby companies, with content and targeted campaigns that point to the meetings page.
Wedding blocks and social groups
Couples book room blocks for guests, and the hotel near the ceremony or reception venue is the natural choice. A wedding page that explains how blocks work, booking codes for guests, a shuttle if you have one and contacts for the couple helps convert. Local wedding venues and planners are good partners; our hub for event venues and planners covers that side of the market. Sports tournaments, family reunions and school trips follow a similar pattern.
Following up every group lead
Group enquiries are valuable and easy to lose: a planner sends the same request to several hotels and books the first good answer. CS+, our CRM, tracks each enquiry from request to proposal to confirmed block and pickup, reminds the sales team to follow up and records which events return each year. Our page on hotel CRM for guests and group sales goes into detail on guest profiles and group pipelines.
Past guests, email and reviews
A guest who stayed and enjoyed it is the cheapest booking a hotel will ever get, if the hotel stays in touch.
Email to past guests
With consent collected at booking or check-in, a property can send a short, useful email a few times a year: the summer package, the festival weekend, a winter midweek rate, a note on a renovation. Pre arrival emails with directions, parking and upsell options, and a post stay thank you with a direct booking invitation, do much of the work automatically. Our email marketing service builds these messages and sequences.
Reviews
Travellers read reviews closely, and they read the replies too. Reply to reviews on Google and on the booking sites, thank guests by mentioning something specific, and answer complaints calmly with what you have done about them. Ask happy guests for a review at checkout and in the post stay email. When ratings have slipped after a bad season, online reputation management can help plan responses and rebuild trust.
Search, metasearch and social ads
Paid advertising helps a hotel appear when its organic listing alone is not enough, and it gives control over timing.
Search and map ads
Search ads on your hotel’s own name protect direct bookings from agencies bidding on it. Ads on searches near your location, attractions or venues capture travellers deciding where to stay. Map ads put the property at the top of local results. Our Google Ads management for local businesses covers these campaigns and their tracking through to the booking engine.
Metasearch
Metasearch ads put your direct rate next to the agencies on hotel comparison screens and charge per click or per booking. They make sense when your direct rate is competitive and the booking engine converts well; otherwise the clicks go to waste. We look at both before recommending a metasearch budget.
Social ads and video
Instagram and Facebook ads with room and destination video work well for packages, weekend getaways and events, especially aimed at people within a few hours’ drive. Our social media advertising service plans and runs these, and retargeting can remind people who looked at your rooms but did not book.
Peaks, events and shoulder seasons
Hotel demand moves with the calendar more than most businesses. Marketing should push hardest where it can change occupancy and rate, not where rooms would fill anyway.
Peaks
Summer, long weekends, major holidays, big conventions, concerts, festivals and sports events often fill the market by themselves. Here the marketing job is rate and mix: make sure the direct channel captures its share and that packages lift the value of each stay.
Shoulder seasons and soft dates
Spring and late autumn, midweek in leisure destinations and weekends in business districts are where marketing earns its fees. Packages, midweek offers, local getaways for people within driving distance, meeting incentives and email to past guests can fill rooms that would otherwise sit empty.
Planning ahead
We build a twelve month calendar with your revenue manager or general manager: known events in your city, your own historical soft spots, wedding season, school breaks and conference schedules. Campaigns and content are then scheduled ahead, rather than in a panic when the forecast looks thin.
Inns, motels, B&Bs and short-term rentals
Smaller properties face the same questions with fewer people and smaller budgets, so focus matters even more.
Inns and B&Bs
An inn or bed and breakfast sells character and hosts. Photos of the breakfast table, the garden, the rooms and the people who run it, stories about the area, and warm, personal review replies work better than generic hotel language. Direct booking is especially important when every commission matters.
Motels and roadside properties
Motels win on location, parking, price and same day availability. Map visibility, accurate prices, clear photos of clean rooms and fast answers on the phone matter most, along with good reviews from travellers, crews and families on the road.
Short-term rental operators
Operators with several units or cottages can build their own direct booking site and guest list instead of relying entirely on rental platforms. Our page on direct booking ads for short-term rental hosts covers that work in more detail, and travel businesses that package stays can see our travel agency marketing page.
Fees, taxes, registration and privacy
Hotel advertising has a few rules that shape how prices and offers are shown. This is a marketing observation, not legal advice.
Mandatory fees and drip pricing
Under the Competition Act, an advertised room rate should include mandatory fees the guest cannot avoid. Adding a resort, destination or facility fee only at checkout can be treated as drip pricing. Show the total honestly wherever you show a price.
Accommodation taxes
Many municipalities charge a municipal accommodation tax that appears on guest bills. Make clear in the booking path what taxes apply so the final total does not surprise the guest.
Short-term rental registration
Cities set their own rules for short-term rentals; Toronto, for example, requires operators to register. Check the rules in each city where you operate before you advertise a unit.
Guest data and consent
Marketing emails and texts fall under CASL, which needs consent, sender identification and an unsubscribe in every message. Guest information is personal information under PIPEDA, and ad targeting and analytics should never use sensitive personal details. In the copy itself, we refer to your booking policy clearly rather than burying it.
How we work
We begin with a free review of the property’s marketing: the Google listing and hotel results, the website and booking engine on a phone, direct versus agency booking mix as you describe it, group and wedding enquiry handling, email to past guests, reviews and any ad accounts. We ask about your guest types, your soft dates and your goals for direct bookings.
You receive a written plan and proposal: what to fix first, the channels to invest in, the calendar of campaigns and our fees quoted in writing. Once approved, we put the work in place, from listing and website improvements to group sales pages, email sequences, ad campaigns and CS+ group follow-up. Every account, from Google Ads to the email platform, is opened in the property’s name.
Each month you get a plain report: direct bookings and revenue tracked through the booking engine, group enquiries and conversions, email results, review trends and ad performance, with recommendations for the next month’s soft dates.
What it costs
Hotel marketing fees are quoted in writing after the free review. Ad spend, metasearch costs and software such as the email platform or booking engine are paid to the provider and shown separately from our fees. If you want ongoing organic search work, SEO is quoted in writing too.
What changes the price for a hotel
The number of rooms and room types, whether there are meeting rooms, a restaurant or a spa to market as well, how many guest types you target, how much new photography and video is needed, whether group and wedding sales need their own pages and CRM pipeline, and how many channels run at once. A twelve room inn with a strong website needs a different plan from a boutique hotel with event space and a corporate sales programme. A group of properties needs a plan per property plus shared work.
Choosing a hotel marketing partner
Before you hire anyone to market a property, ask these questions.
- Who owns the accounts? The answer should be you. Google Ads, the Business Profile, analytics, the email list of past guests and the website should all sit in the property’s name.
- How will you measure direct bookings? The answer should include tracking through the booking engine, not just website visits.
- What is your view on the online travel agencies? Look for balance and a plan to convert agency guests, not a promise to replace the agencies.
- How will you handle group and wedding enquiries? Ask how leads are tracked and followed up.
- How will you show prices? They should understand mandatory fee disclosure and accommodation taxes.
- Who will speak to my front desk and sales team? Marketing works when the people at the desk know what the offers are.
Canada Create answers each of these in the written proposal. Our hospitality marketing hub for restaurants and hotels shows how we approach food, drink and accommodation businesses together.

Hotel marketing questions
What does marketing mean for a hotel?
Hotel marketing is the work of filling rooms at a fair rate: being visible in Google's hotel results and maps, a website and booking engine that make booking direct easy, clear offers and packages, group and wedding sales, and email and reviews that bring past guests back. For an independent property, much of it is about reducing dependence on online travel agencies.
How can a small hotel get more direct bookings?
Make sure your direct rate appears in Google's hotel results, keep your website and booking engine fast on phones, and add value that only exists when booking direct, such as breakfast, parking or a later checkout. Invite agency guests to book direct next time with a card in the room, a word at checkout and a post stay email sent with consent.
Should my hotel stop using online travel agencies?
For most independent properties, no. The agencies bring reach a small hotel cannot buy alone, especially for travellers who do not know your area. The better approach is balance: use them for visibility, keep your direct offer stronger, and turn agency guests into direct guests once they have stayed with you and enjoyed it.
What are the seven Ps of hospitality marketing?
Product is your rooms, amenities and experience. Price is your rates and packages. Place is your location and the channels where guests book. Promotion is your listing, website, ads, email and social. People are your staff and how they treat guests. Process is how booking, check-in and service work. Physical evidence is the property itself, photos and reviews.
How do I market my hotel for meetings and group bookings?
Build a meetings page with room capacities, setups, equipment and catering, and a request form that asks for dates, attendance, room nights and budget. Reach planners and executive assistants nearby through LinkedIn and partnerships, reply quickly and specifically, and track every enquiry so none is lost when a planner contacts several hotels at once.
How do I attract wedding room blocks?
Create a wedding page that explains how blocks work, guest booking codes, any shuttle and a direct contact for couples. Partner with nearby wedding venues and planners so your property is on their recommended list, and make sure the booking code works smoothly in your booking engine. Follow up couples promptly, since they compare several hotels near the venue.
How should my hotel show resort or destination fees in ads?
Under the Competition Act, an advertised room rate should include mandatory fees the guest cannot avoid, and adding them only at checkout can be treated as drip pricing. Show the total honestly in ads, on the website and in the booking path, and make taxes clear. This is a marketing observation, not legal advice.
How do I fill rooms in the shoulder season?
Plan ahead with a calendar of known soft dates, then build packages and offers for them: midweek getaways, local escapes for people within driving distance, meeting incentives and seasonal experiences. Email past guests with consent, run focused social ads with room and destination video, and make sure each offer has its own page and booking code.
Do hotel reviews really affect bookings?
Travellers read reviews and the replies closely when choosing between similar properties. Ask satisfied guests for a review at checkout and in the post stay email, reply to every review with something specific, and answer complaints calmly with what you have changed. A steady flow of recent, answered reviews makes a property easier to choose.
Is a CRM worth it for an independent hotel?
It is most useful for group, meetings and wedding sales, where each enquiry is valuable and easy to lose, and for keeping guest preferences and consent in one place. A CRM like CS+ reminds the sales team to follow up, records which groups return each year and supports email to past guests who agreed to hear from you.

Travellers are comparing your rooms right now
Every night someone compares your property with three others on Google and the booking sites, and the clearest photos, total price and booking path win. Make sure your direct channel is ready for them. Ask for a free review and we will show you where direct bookings slip away.
