Events and entertainment marketing
A practical guide for venues, planners, vendors and attractions
This page covers marketing for events and entertainment businesses in Canada: wedding venues and banquet halls, event and wedding planners, caterers, DJs, photo booth and rental companies, entertainment venues, golf courses and seasonal attractions. It explains how your buyers search, what they need to see before they book a tour or buy a ticket, and which channels are worth your money in each part of the year. Canada Create™ is a Toronto digital agency with an office at 126 Willowdale Avenue, Suite 3, serving businesses across Canada, and we have built websites and marketing for local businesses since 2008.

The trades inside this hub
Events and entertainment is a wide group. A banquet hall and an arcade both sell experiences, but one sells a single date a couple will plan for a year and the other sells a Saturday afternoon decided an hour before. The marketing has to follow the way each buyer decides, so we treat each trade separately: who the buyer is, how far ahead they plan and what makes them pick up the phone.
Wedding venues, banquet halls and event spaces
A venue sells a date, a room and a capacity. Couples and corporate planners compare a short list of venues on photos, guest count, catering options, parking, ceremony space and the all-in price per guest. The sale almost always runs through a site tour, so the job of your marketing is to fill the tour calendar with people whose date and budget fit. Banquet halls also chase cultural weddings, milestone birthdays, galas and corporate dinners, each with its own searches and its own photos. Our wedding venue marketing service covers tour bookings, wedding season planning and venue photography in detail. Wedding Venue SEO, Wedding Venue Advertising and Wedding Venue Website Design are areas we are adding as separate pages.
Event planners and wedding planners
A planner sells trust and judgment, and the buyer usually cannot see the work until the day itself. Couples look for a planner who has handled weddings of their size and style; corporate clients look for someone who can run a conference, a product launch or a holiday party without surprises. Portfolio pages, clear service packages (full planning, partial planning, day of coordination) and a fast first reply decide most of these sales. Our page on marketing for event planners who want more client enquiries goes deeper on packages, referrals and corporate work. Wedding Planner CRM and Event Planning CRM are coming as their own pages.
Caterers
Caterers sell to two very different buyers. Couples and families want a tasting, a menu that suits their guests and dietary needs handled with care. Office managers and executive assistants want drop off lunches, breakfast trays and event catering that arrives on time, with an invoice their finance team accepts. Corporate orders repeat, so a caterer who wins one office often keeps it. Your website needs online menus, minimum order rules, delivery areas and a quote form that asks the right questions. Marketing for Caterers, SEO for Caterers and Catering Advertising are being added as separate pages, and caterers who also run a dining room can read about advertising for restaurants.
DJs, photo booths, tent and party rentals
These are add on vendors. Buyers usually find them after the venue is booked, often by searching the service with the city or the venue name, or by asking the venue and planner for a list. A DJ is judged on music style, reviews, video of a full dance floor and the ability to MC. A photo booth company is judged on the booth styles, print and digital options and backdrops. Tent and party rental companies sell inventory, delivery windows and setup, and they need an online catalogue with sizes and quantities. DJ SEO, DJ Website Design, Photo Booth Marketing and Photo Booth Advertising are on our list of upcoming pages.
Entertainment venues
Escape rooms, bowling centres, arcades, trampoline parks, axe throwing, cinemas and theatres sell last minute visits, birthday parties, team building and group outings. Many visits are decided the same day, on a phone, from a map search like “things to do near me”. Online booking or ticketing, clear hours, age rules, party packages and a strong Google Business Profile matter more here than long pages of copy. Our entertainment venue marketing service covers ticket sales, party bookings and group events, and Arcade CRM is on our list of upcoming pages.
Golf courses and golf clubs
A golf course sells tee times to public players, memberships to regulars and private bookings for tournaments, corporate outings and weddings on the patio. Each has a different buyer and a different season. Public players compare green fees, course conditions and online tee time booking. Prospective members want to know the course, the clubhouse, the practice facilities and the people. Tournament organizers want shotgun start options, food and beverage packages and a contact who replies. Marketing for Golf Courses, Golf Course SEO, Golf Club Advertising and Web Design for Golf Courses are coming as separate pages.
Ski resorts and seasonal attractions
Ski hills, corn mazes, pumpkin patches, holiday light shows, waterparks and fall fairs earn most of their year in a few busy weeks, and the weather decides much of it. Their marketing has to sell season passes and early tickets before the season, then switch to conditions, hours and capacity once it opens. Updates to Google Business Profile hours and posts become daily work in peak season.
How people search for a venue, a vendor or a night out
Across the hub, people search with three things in mind: a date, a guest count and a place. A couple types “wedding venue for 150 guests Vaughan” or “outdoor ceremony venue Niagara”. An office manager types “corporate catering Mississauga”. A parent types “birthday party places for kids near me”. A golfer types “tee times today” or the course name. Your marketing has to answer those three questions fast, on the page and in the listing.
Planning windows change everything
Weddings are often booked a year or more ahead, and the venue is the first decision. Planners, caterers, DJs and photo booths are booked after the venue, sometimes many months later. Corporate holiday parties are booked in late summer and early fall. Entertainment venues sell mostly within the same week or day. Golf memberships sell over the winter and early spring, while tee times sell days ahead. A plan that treats all of these the same wastes money in some months and misses demand in others.
What decides the booking
- Availability: buyers want to know if their date is open before they invest time in a tour or a call.
- An all-in price: a starting price per guest or per package, with what is included and what costs extra, shown honestly.
- Photos and video: real rooms set up for real events, at the guest count the buyer has in mind, and short video for Instagram and TikTok.
- Reviews: recent reviews that mention the type of event the buyer is planning.
- A fast, useful reply: the first business to answer with availability and a clear next step often wins the tour.
SEO and Google Business Profile
Search engine optimization for this hub is mostly local and mostly about intent. A venue does not need to rank for “wedding”. It needs to appear when a couple in its area searches for a venue that fits their size, style and budget.
Pages built around events, rooms and places
Strong sites have a page for each event type the business really hosts (weddings, ceremonies, corporate events, galas, birthday parties, celebrations of life), a page for each room or space with capacity for seated dinners and receptions, and location content that names the area buyers search. A caterer needs pages for wedding catering, corporate catering and dietary menus. A golf course needs pages for tee times, memberships, tournaments and the clubhouse. Our SEO service plans and writes these pages so each one answers one search, and event and venue copywriting fills them with details only you can give: menus, room names, setup options and real policies.
Google Business Profile is your shop window
For entertainment venues, golf courses and attractions, the Google Business Profile is often the first and only thing a buyer sees before calling or driving over. Keep categories accurate, hours current (including holiday and seasonal hours), photos fresh and booking links pointing to the right page. Answer reviews with a real reply. Venues with several rooms or a separate restaurant need to think carefully about how those appear. Our Google Business Profile management in Toronto and local search work for venues across the GTA and Canada cover profile setup, posting, photo plans and review replies.
Reviews that describe the event
A review that says “great venue” helps less than one that says “our 180 guest wedding in the garden room ran perfectly”. Ask past clients for a review at the right moment (after the thank you note, not before the final invoice), and make it simple with a direct link. Reply to every review, including the hard ones, in a calm tone. Our online reputation management helps set up the request flow and reply standards.
Websites that turn visits into tours and bookings
A venue or event website has one job: move a qualified buyer to a tour, a quote request or a booking. It should look as good as your finest event, load fast on a phone and answer the questions buyers ask before they reach out.
What every page should show
- Real photos of your spaces set for real events, with captions that name the room and the guest count.
- Capacity for ceremony, cocktail reception, seated dinner and standing events.
- Packages with a starting price, what is included and what is extra.
- Clear calls to action: book a tour, check a date, request a quote, buy tickets or book a tee time.
- Directions, parking, accessibility information and nearby hotels for out of town guests.
Enquiry forms that ask the right questions
A good enquiry form asks for the event date (or a few date options), the guest count, the event type and a budget range, plus a phone number and a preferred contact time. That is enough to reply with availability and a tour time on the first answer. Long forms lose buyers; forms without a date and guest count waste your sales team’s time. For caterers, add delivery address, dietary needs and service style. For DJs and photo booths, add the venue name.
Online booking, ticketing and tee times
Entertainment venues, golf courses and attractions need booking or ticketing that works on a phone in a few taps, with live availability and party packages that can be bought online. Your booking platform and your website should look like one experience, and booking events should be tracked so you know which channels sell tickets. Our web design team in Toronto designs these sites, and web development on WordPress, Shopify or Webflow handles booking widgets, menus, catalogues and integrations. Once live, website maintenance and security keeps forms and booking links working through the busy season.
Photos and video do the selling
Most buyers decide from images first. Professional photos of empty rooms are useful, but photos of rooms set for a wedding, a gala or a corporate dinner sell better, as do short videos that show the flow of an evening. Venue and event photography and video production for venues and attractions give you images you own for the website, the Google profile, directories and ads.
Google Ads, social ads and directories
Paid channels work well in this hub when they match the planning window. Search ads catch buyers who already know what they want; social ads build desire well before the date is chosen.
Google Ads
Search campaigns for venues target event type, capacity and location, and send clicks to the matching page, not the home page. Caterers can run separate campaigns for corporate catering on weekdays and wedding catering on weekends. Entertainment venues can run campaigns for birthday parties, team building and “things to do” searches near the venue, scheduled around opening hours. Golf courses use ads for tee times in season and for memberships before the season. Ad spend is paid to Google directly and shown separately from our fees. Read more about Google search and local ads.
Instagram, TikTok and Facebook
Weddings, parties and nights out are visual, and couples save venues and vendors on Instagram and TikTok long before they enquire. Short clips of a room being set, a first dance, a full dance floor or a busy arcade night do more than polished brand pieces. Paid social works for promoting open houses, wedding showcases, holiday party packages and season passes to the right age groups and areas. Our paid social campaigns and social media management for venues and vendors plan the content calendar around your season.
Wedding directories and vendor lists
Wedding directories and listing sites can bring enquiries, but they also put you beside every competitor on the same page. Keep listings complete and current, with the same photos and starting prices as your website, and track which ones send real tours. Venue preferred vendor lists are just as important for caterers, DJs and photo booths: a good relationship with the venue coordinator can be worth more than any ad.
CRM and follow-up from enquiry to deposit
Event businesses lose bookings in follow-up more than anywhere else. A couple sends five enquiries on a Sunday night and books tours with the two venues that reply first and clearly. A CRM gives every enquiry a place to live and a next step, from first contact to signed booking and deposit.
A pipeline built around your sales steps
A typical venue pipeline runs: new enquiry, date checked, tour booked, tour held, proposal sent, date on hold, signed booking, deposit received, final details, event held, review requested. Caterers add tasting booked. Planners add discovery call. Each stage has a task and an owner, so no one wonders who should call the couple back. CS+, our CRM, can hold that pipeline with your forms, calls and email in one place.
Holds, deposits and reminders
Date holds should expire with a reminder to both sides. Deposits and payment schedules should trigger reminders before each due date. After the event, a thank you message and a review request should go out automatically. For corporate catering and corporate events, the CRM should flag repeat clients for the next quarter’s order or next year’s holiday party. Our CRM setup and automation covers pipelines, reminders and reporting.
Email to past clients and leads
Past couples refer friends; past corporate clients book again. A simple newsletter with seasonal packages, open house dates and new menus keeps you in mind, as long as people agreed to receive it. Email marketing for event businesses covers consent, list care and seasonal sends.
AI for enquiries, booking and AI search
Many enquiries arrive after hours, on weekends and during events, exactly when your team is busy running someone else’s wedding. AI can help, if it is set up with your real information and clear limits.
Answering and booking
An AI chat agent on your website can answer common questions (capacity, parking, packages, what is included, age rules) from information you approve, check a date against your calendar and offer tour times. An AI voice agent can answer overflow calls during an event, take the date, guest count and contact details, and pass a summary to your team. It should never quote a custom price or confirm a booking that needs a human. Our AI agents for chat and phone are set up with these rules and hand over to a person when needed.
Follow-up and AI search visibility
AI can draft follow-up messages from tour notes for your team to approve, and sort enquiries by date and size. Buyers also ask AI assistants for venue and vendor ideas. Those answers draw on clear, consistent information across your website, Google profile and listings, so accurate capacity, location, packages and reviews help you show up there as well as in search.
Seasons, weather and the booking calendar
Event businesses have a clear calendar, and good marketing runs ahead of it rather than with it.
Wedding season
In most of Canada, outdoor weddings cluster from late spring to early fall. Many couples get engaged over the winter holidays and start searching right after, so January to March is a key time for venue, planner and caterer marketing: wedding shows, open houses, fresh photos and search ads. By the time the weather warms, many prime dates for the next year are already being toured.
Holiday party season
Corporate holiday parties are planned well before December. Venues, caterers, DJs and entertainment venues should have holiday packages live by late summer, with ads and email running through early fall, and quick turnaround offers ready for late bookers in November.
Golf, ski and seasonal attractions
Golf courses sell memberships and early season offers over the winter, then switch to tee times, leagues and tournaments in season. Ski hills sell season passes in the fall and switch to conditions and lift ticket sales once snow arrives. Fall attractions start promotion in late summer. Weather changes plans fast, so ad schedules, Google profile hours and website banners should be easy to update the same day.
Slow periods
Use quiet months for website updates, photo and video shoots, new packages and reviewing which channels produced tours. Weekday corporate events, smaller celebrations and off season wedding pricing can fill the gaps if they are marketed clearly.
Pricing rules, alcohol, photos and privacy
A few rules shape how event and entertainment businesses advertise. This is a marketing observation, not legal advice; check with your own lawyer or regulator for your situation.
Show the real price
The Competition Act treats drip pricing, where mandatory fees are added after an attractive headline price, as misleading. If a service charge, facility fee or booking fee is mandatory, it belongs in the price you advertise. Taxes can be shown as extra, but say so. Starting prices should be real and clearly explained (for example, the minimum guest count and day of week they apply to).
Alcohol service
Alcohol service at Ontario venues falls under rules administered by the AGCO, including licensing and advertising standards. Other provinces have their own regulators. Keep bar packages, drink promotions and ads consistent with the licence your venue holds.
Photos of guests and minors
Get written permission before using identifiable guests in photos and videos for marketing. Private events need more care: a couple may not want their wedding on your Instagram. Photos of children at parties, camps or attractions need parental permission and a clear process for removing images on request.
Email, texts and privacy
CASL applies to commercial email and texts to past clients and leads: you need consent, clear sender identification and a working unsubscribe link. PIPEDA sets general rules for how you collect and keep personal information from enquiry forms and bookings. Businesses serving Quebec should plan for Law 25 and French language requirements. Keep sensitive details, such as health or dietary information shared for a menu, out of analytics and ad targeting. Websites in Ontario should be built to WCAG to meet AODA expectations.

What it costs
SEO starts from CAD 1,500/month. Every other service, from a new venue website to Google Ads management, CRM setup or AI agents, is quoted in writing after the free review.
What drives the price
- The number of locations, rooms or event types that need their own pages and campaigns.
- How competitive your area is: a downtown event space faces more competition than a rural golf course.
- Whether you need a new website, booking or ticketing integration, or improvements to what you have.
- Photo and video needs, especially when shoots must happen during real events.
- How many channels run at once, and how much your plan changes from season to season.
Ad budgets are separate from our fees and paid directly to the platform, so you can raise them in peak season and lower them in quiet months. If you are weighing priorities, marketing strategy and fractional CMO support helps decide where the budget should go first.
How to choose a marketing agency
Before you hire anyone to market your venue or event business, ask a few direct questions.
- Do you understand our sales cycle? Look for an agency that asks about tours, holds, deposits and seasons, not only clicks.
- What will you track? Tours booked, quote requests, ticket sales and calls should matter more than impressions.
- Who owns the accounts? The answer should be you. Your website, domain, Google Business Profile, ad accounts and analytics should all be in your business name.
- Who creates photos and video? Ask how they will get real event images and how guest permission is handled.
- How do you report? Ask for a sample monthly report and who you will speak with.
- Are fees and ad spend separate? They should be, and both should be in writing.

Events and entertainment marketing questions
What are good wedding venue marketing ideas or strategies?
Show real rooms set for real weddings, with capacity and a starting price per guest. Make tour booking simple and reply with availability first. Keep your Google Business Profile photos fresh, ask every couple for a review that names their event, and post short video on Instagram and TikTok. Run search ads and open houses in the winter engagement period, when many couples start looking.
How do I write a marketing plan for a catering business?
Split the plan by buyer: weddings and private events on one side, corporate orders on the other. For each, list what they search, the pages and menus they need, the channels that reach them and the follow-up steps. Add a seasonal calendar for wedding season and holiday parties, a budget for each channel and the numbers you will track, such as quote requests, tastings and repeat orders.
What are catering marketing ideas that bring corporate orders?
Build a corporate catering page with online menus, minimum orders, delivery areas and invoicing details. Run weekday search ads for office catering in your delivery area. Send sample boxes or a tasting to office managers and executive assistants, then follow up by email with their consent. Keep a CRM list of past corporate clients and remind them before holiday party season and quarterly meetings.
What marketing strategy works for an event planner?
Lead with a portfolio that shows events by type and size, clear packages such as full planning, partial planning and day of coordination, and reviews that describe the work. Build referral relationships with venues and vendors. Reply to every enquiry quickly with a discovery call time, and use a CRM to track each couple or corporate client from first contact to signed booking.
How do golf courses attract members and tee time bookings?
Treat them as two campaigns. For tee times, keep online booking simple on a phone, keep the Google profile current with hours and course conditions, and run search ads in season. For memberships, market over the winter and early spring with pages about the course, clubhouse, practice facilities and member events, plus email to past players who agreed to hear from you.
Does a DJ or photo booth company need SEO?
Yes, in a focused way. Buyers search the service with a city or a venue name, so a strong Google Business Profile, a page for each area you serve and pages that mention venues you have worked at help you appear. Reviews, video of real events and good relationships with venue coordinators and planners matter just as much as rankings.
How should a venue show prices online?
Show a real starting price, explain what it includes and say what changes it, such as guest count, day of week and season. Mandatory service charges and fees belong in the advertised price, since drip pricing is treated as misleading in Canada. Taxes can be listed as extra if you say so clearly. A clear starting price filters out poor fits before the tour.
How far ahead should event businesses market for wedding season and holidays?
Start wedding marketing in winter, because many couples get engaged over the holidays and begin touring venues early in the year. Holiday party packages should be live by late summer, with ads and email running through early fall. Entertainment venues can market closer to the date, but birthday and group packages still need to be visible weeks ahead.
How much does marketing for a venue or event business cost?
SEO starts from CAD 1,500/month. Websites, Google Ads management, social media, CRM setup and AI agents are quoted in writing after a free review. Price depends on the number of rooms or locations, how competitive your area is, booking or ticketing needs, photo and video needs and how many channels run at once. Ad spend is paid to the platform and shown separately.
Who owns the accounts?
You do. Your domain, website, Google Business Profile, Google Ads account, social accounts, analytics and CRM data should all be set up in your business name. We work inside them with the access you give us, so your history, reviews and contacts stay with your business whatever happens.
Can AI help answer venue and booking enquiries?
Yes, within clear limits. An AI chat or voice agent can answer common questions from information you approve, check dates, offer tour times and take enquiry details after hours or during busy events, then pass a summary to your team. It should not quote custom prices or confirm bookings that need a person, and it should hand over to staff when asked.

Your next date is being searched right now
Couples, office managers and families are comparing venues and vendors today, and the first clear answer usually wins the tour. Make sure your website, Google profile and follow-up are ready for them. Ask for a free review and we will show you where enquiries slip.
