CRM for senior living
A CRM built around how families decide
A senior living CRM can support your team’s coordination of enquiries, tours, referrals and agreed follow-up. Canada Create assesses CS+, our CRM, or your existing senior living platform against the residence’s requirements. The scope can include supported website, phone and booking connections, staff training and reports using available enquiry, tour and move-in information. Clinical records, care decisions and admission eligibility remain separate responsibilities.
Enquiries arrive through phone calls, web forms, email, social messages and referral partners. The conversation may involve the future resident, a spouse or adult children. When those exchanges sit in different inboxes or notebooks, staff can repeat questions or miss an agreed callback. Discovery establishes the information staff need, who is responsible for replies and which gaps the engagement can address.
What a CRM for senior living has to do
Senior living enquiries can involve several people and more than one visit, with timing that changes as circumstances change. The setup should support the resident’s preferences and record who is involved, who is authorized to receive information and what happens next. In Ontario, people apply directly to retirement homes, while long-term-care applications are coordinated through Ontario Health atHome. Assisted-living programs can have their own assessment and referral arrangements. A residence’s enquiry CRM does not replace these processes or make clinical or admission-eligibility decisions. Key requirements include:
- Linked contacts. Connect the prospective resident and the people involved, while recording each person’s role, contact preferences and authority to receive information or act on the resident’s behalf.
- Care level and suite interest. Independent-living, assisted-living, memory-care or respite services the residence actually offers, suite interest and preferred timing, with only the information approved for this enquiry purpose. Care assessments belong in the appropriate care process.
- Referral sources. Available referral information from hospitals, physicians, placement agencies or residents’ families, with permission and reporting limits agreed. A recorded referral is not proof that it caused a move-in.
- Stages that match your admissions process. Progress and unresolved enquiries visible to responsible staff, with any assessment, agreement or move-in status supplied through an approved process.
- Scheduled follow-up. Agreed staff responsibilities and reminders, with missed contacts and changed preferences visible for review.
- Source tracking. Record available channel and campaign information, referral details and an unknown-source category; individual organic search keywords are not always available.
- Waitlist management. A residence’s permitted future-interest or suite-availability records, distinct from an official long-term-care placement list or eligibility decision.
CS+ or your current senior living CRM
A purpose-built senior living CRM and a configurable business CRM can have different capabilities, costs and operating responsibilities. We assess the system you already use before recommending a change.
If you already have a CRM
We review the current system against your reporting, staff and privacy requirements. Proposed changes depend on vendor permissions, available exports, supported features and connections. The quote identifies what can be improved, what cannot transfer or connect, client review responsibilities and any ongoing administration. Existing data quality and communication permission need review; a migration does not create missing consent.
If you do not have one
CS+ can be considered for agreed enquiry coordination, family-contact permissions, tour administration and reporting. Its suitability depends on the required information, available features and approved connections. Staff review the proposed scope and test agreed functions before activation, with training, exceptions and support responsibilities defined in writing. It is not offered here as a clinical record or automated placement system.
If you are choosing between systems
We help you compare systems against the number of residences and users, service models, reporting, staff accessibility needs and budget. Connections with property-management or clinical software require separate feasibility, permission and vendor review; a familiar product name does not prove compatibility. Licence and usage charges, support coverage, available exports and responsibilities at handover also affect the decision.
Connecting marketing to the CRM
Connections need a clear owner and a way to detect failures. We document which enquiries enter the CRM automatically, which need staff input and what happens when a source cannot be identified.
Web forms and tour bookings
The scope identifies supported enquiry and tour-request connections, available source information, staff ownership and how failures are reported. A submitted request is not a confirmed appointment until the residence confirms it. Initial enquiries should use only necessary information; sensitive assessments and referral documents require a separately approved route. Testing and client acceptance are agreed before activation.
Phone calls
Call reporting may identify some enquiry sources, depending on the approved setup and information available. The proposal identifies source and matching limits, staff responsibilities and any separate phone charges. Recordings or automated summaries require an agreed purpose, appropriate notice and consent, access and retention controls, and staff review of accuracy; they are not assumed to be included.
Ad platforms
Agreed tour and move-in information may support internal reporting, with missing or uncertain sources identified. Sharing information with an advertising platform is a separate decision that requires service, event, data and policy review. For retirement-residence campaigns in Canada, the review also covers Google’s housing-audience restrictions. Google prohibits enhanced-conversion measurement for conversions related to sensitive health categories; consent or hashing does not remove that restriction. Other measurement methods have their own requirements and are not presumed eligible. Health information stays out of advertising systems, and internal CRM access is not permission to build health-based advertising audiences. Our Google Ads management team reviews and tests the agreed setup.
Referral partners
Referral reporting is scoped around information the residence is permitted to receive and use. The agreement identifies who handles referrals, what may be reported and what stays in care records. Partner communications require an approved purpose and permission; a referral does not confer authority over the resident’s information or placement.
Nurturing families who are not ready yet
Some people are planning well ahead; others need a prompt answer. Follow-up should respect the resident’s wishes, each contact’s authority and any request to pause. Before managed communications are included, the residence and Canada Create agree:
- Which communications are requested service information and which are promotional, and who approves their content.
- Who may receive each message, including the resident’s preferences and any verified representative’s authority.
- What timing, accessibility or language needs staff should respect, and how changed preferences or withdrawals are handled.
- Who responds to replies, paused decisions or sensitive questions that need a staff member rather than an automated message.
For commercial emails and texts, we record the consent basis, include sender identification and provide an unsubscribe route in line with CASL guidance. Tour confirmations and promotional sequences are treated according to their actual purpose, and unsubscribe handling is tested before launch.
Privacy and data handling
An enquiry can reveal health information through a care request, diagnosis or medication detail. Your privacy lead or legal adviser determines the applicable requirements for the organization, province and information involved. The review covers necessary data, permitted purposes, platform and contract limits, access, retention, hosting, vendors and incident responsibilities. Clinical details should stay in the appropriate care record rather than be copied into a general enquiry system by default. Being a relative does not automatically authorize access: staff verify the resident’s permission or the representative’s applicable authority. CS+ configuration, supported connections or a private deployment may be assessed against the approved scope; none alone establishes privacy, security or legal compliance. Health information stays out of advertising systems, and family access is limited to verified permissions.
What senior living CRM support costs
Cost depends on whether we set up CS+ or work in your current system, how many residences and users you have, which connections are supported and whether ongoing administration or approved communications are included. Data condition, permission review, testing, training and staff availability also affect the scope.
- Setup and integration: quoted in writing after a short audit.
- Ongoing management and nurturing: quoted in writing by scope.
- Software licences: if you use a third-party CRM, its licence is paid to that vendor.
Agreed reports can compare recorded enquiries, response times, completed tours and move-ins, with unknown sources and missing records explained. Those counts alone do not show that the CRM caused additional move-ins. A financial assessment needs support for any claimed additional contribution, the relevant stay period and costs, including setup, licences, support, care delivery and applicable referral fees. Staff time is a separate operational measure unless actual savings or capacity are established; it should not be counted twice. Occupancy and financial returns are not guaranteed.

Senior living CRM questions
What is a senior living CRM?
A senior living CRM supports administrative enquiries, tours, permitted referral information and agreed follow-up with prospective residents and authorized contacts. It does not replace clinical records or decide care needs or admission eligibility. In Ontario, retirement-home enquiries and applications are distinct from long-term-care placement coordinated through Ontario Health atHome.
Do we need a senior living specific CRM?
That depends on your service model, number of residences, permitted information, staff needs, reporting and proposed connections. Compare a purpose-built system with CS+ or your existing CRM against these requirements, licence costs, support and available exports. Connections with clinical or property-management software require separate feasibility and privacy review.
Can you work with the CRM we already have?
We first assess vendor access, supported features, available exports and the changes you need. A review may support improving the existing system or identify limits that require a different scope. Migration, data correction and connections are agreed after that review; compatibility with every CRM is not assumed.
How does the CRM connect to our marketing?
Supported enquiry and tour connections can provide available source information for internal reporting, with gaps documented. Advertising measurement is a separate eligibility and data decision. Google does not permit enhanced-conversion measurement for conversions related to sensitive health categories; other methods are not automatically eligible. Health information stays out of advertising systems.
How long does CRM setup take?
Timing depends on the approved scope, vendor access, data readiness, connection feasibility, privacy review and staff availability. The written proposal identifies milestones, testing, client acceptance and dependencies before a launch date is agreed.
Is health information safe in the CRM?
A CRM or private deployment does not by itself establish safety or compliance. Your privacy lead or legal adviser determines the applicable requirements; the scope reviews necessary information, permitted purposes, platform and contract limits, access, retention, hosting and vendor responsibilities. Clinical details belong in the appropriate care record, and staff verify the resident’s permission or a representative’s authority before family access.
Do you handle follow-up emails?
Yes, approved communications can be included in the written scope. The residence approves content and purpose, the consent basis and authorized recipients, and who handles replies or sensitive questions. Commercial messages need the applicable sender-identification and unsubscribe controls. Timing respects the person’s preferences and requests to pause; a tour request is not blanket permission for promotion.
What does a senior living CRM cost?
Setup and management are quoted in writing based on residences, users and integrations. Third-party software licences are paid to the vendor.
