HubSpot consulting guide

The complete guide to HubSpot consulting and implementation

Executive summary: HubSpot needs to fit the business’s requirements, subscription entitlements and capacity to administer it. Canada Create has helped Canadian businesses since 2008, and HubSpot is one of the platforms we set up, next to Zoho, Salesforce and CS+, our own CRM. This page covers the consultant’s role, when HubSpot is the right platform, how the hubs and tiers fit a Canadian business, what a proper HubSpot implementation includes, the integrations that make it useful, and how a HubSpot portal project is priced.

What a HubSpot consultant does

A HubSpot consultant looks at how your marketing, sales and service teams pass enquiries to one another, then matches that to the hubs, seats and admin work HubSpot would actually require. Depending on the agreed scope, the work can cover portal settings, properties and pipelines, record imports, app connections, workflows, dashboards and staff training. Your proposal lists what is delivered and what is not, what your team supplies, how results are tested and accepted, and who holds the super admin role once we hand over. A consultant should also explain when the current system or another platform would better meet your requirements.

When HubSpot is the right CRM

HubSpot may suit businesses evaluating shared customer information and approved marketing, sales or service communications, including professional services, agencies, SaaS and B2B teams. Fit depends on required features, permitted information, subscription costs and staff capacity. Free tools should be compared with the paid capabilities actually needed. Scheduling, specialized permissions, finance systems and high-volume connections deserve separate feasibility and cost review. Education and senior-living organizations also need clear boundaries for family communications and sensitive records. We compare these requirements with Zoho, Salesforce or CS+, and explain the recommendation in writing.

Hubs and tiers for a Canadian business

HubSpot offers free tools and paid subscriptions whose features, seats and usage limits vary by product and account pricing model. Under the applicable hub-based subscriptions, sequences require eligible Sales Hub or Service Hub Professional or Enterprise access and the appropriate seat; workflows, custom reporting, custom objects and sandboxes have separate requirements. We check the current product catalogue and your order form, including any account-specific pricing transition. Marketing-contact tiers matter where that billing model applies; accounts notified of a flexible seats-and-credits transition need the corresponding terms assessed instead. The comparison includes seat types, usage or credit charges, applicable contact limits and renewal conditions. HubSpot licences are separate from our implementation fees.

What a HubSpot implementation includes

A Canada Create HubSpot engagement starts with the business problem, the tools already in or beside the portal, approved information and the people who will own the account. The scope names the hubs and seats, the properties, pipelines and imports we set up, the apps we connect, the dashboards and training included, and what we need from you. Your team approves who gets access, which emails and sequences may be sent and what information may be stored. Testing uses an eligible sandbox or an agreed controlled setup, with safeguards against unintended live sends. Acceptance criteria identify the results your team will review, migration exclusions and unresolved items before activation. The written agreement covers the launch period, any follow-up fixes and who looks after the portal from then on. A one-time HubSpot project ends with training for your users and admin; it does not cover future portal upkeep. New hubs, workflow changes, app updates on HubSpot’s side and day-to-day administration are scoped on their own. We may use AI to help draft properties, emails and workflow logic from information you approve; a person on our team checks every deliverable before it reaches you, and live workflows run only within the permissions and rules you sign off.

Integrations that make HubSpot useful

Common requests include HubSpot forms or tracking code on a WordPress or Webflow site, calling tools, Google Calendar or Microsoft 365, QuickBooks Online or Xero, advertising platforms, Shopify or WooCommerce, and Slack or Teams. Whether an app from the HubSpot App Marketplace will work depends on your hubs and tiers, the fields it can sync, its permissions, vendor terms and API limits. Being named here does not mean an app suits your portal or that every source will show up in attribution reports. The agreement sets which way data syncs, what is left out, how the sync is tested, any usage charges, and who responds when an app fails or its vendor changes it. Native connectors, APIs or custom apps may be assessed where appropriate; private AI components require separately approved information and feature scope. Sending HubSpot contact or deal data to Google Ads or Meta is treated as its own decision, apart from portal reporting, and goes ahead only after consent and platform policy checks. Sensitive records and information about minors are kept out of any ad platform sync.

Canadian privacy and consent in HubSpot

What applies to your HubSpot portal turns on who you are, where you operate and how contact data moves. PIPEDA or applicable provincial legislation may govern the records, and CASL generally expects consent, sender identification and a working unsubscribe link on commercial emails sent from HubSpot. We set up consent properties, subscription types, suppression lists and user permissions to match the rules your privacy or legal advisers approve. Hosting region, subprocessors, connected apps and any sensitive-data features are reviewed together; a Canadian data centre alone does not establish compliance. Decisions about lawful collection, what is emailed and final sign-off stay with your organization.

What drives the cost of HubSpot consulting

Cost depends on the hubs and tiers in scope, how many users need seats, how much existing data there is and how clean it is, the apps to connect, and how many workflows, sequences and dashboards you need, plus the testing, training and support you choose. Moving from another CRM adds field mapping and import checks. The schedule follows the scope, HubSpot access, how ready your data is, whether each app connection is feasible and how quickly your team reviews. A project covering Marketing, Sales and Service Hub together may be accepted hub by hub; your proposal sets out that order and its dependencies. Your fee is set out in a written proposal after the discovery call, before any work starts. Ongoing HubSpot management is available monthly for businesses without an in-house administrator. Your HubSpot subscription is between you and HubSpot, and our portal access follows the written scope. HubSpot itself, third-party apps and materials we created before your project keep their own rights and licence limits. At handover you receive super admin access, any available exports and notes on each connected app, as agreed.

HubSpot consulting questions

Is HubSpot only a CRM?

No. HubSpot's free CRM sits at the centre, but the platform also includes hubs for marketing, sales, customer service, content management, operations and commerce. Each hub adds tools such as email marketing, sales sequences, ticketing, a website CMS or data sync. Many Canadian businesses start with the CRM and one hub, then add more as their processes mature and their team adopts the system.

Can I use HubSpot with Outlook?

Yes. HubSpot connects with Outlook and Microsoft 365, so your team can log emails, track opens, use templates and book meetings from the inbox, and sync calendars and contacts. Setup choices matter, such as which emails are logged automatically and how shared inboxes are handled, so private messages stay out of the CRM. We configure this during implementation and train your team on it.

Does HubSpot have a future?

HubSpot is a well-established, publicly traded software company that continues to invest in its platform, including AI features across its hubs. No vendor's future is certain, so protect yourself whatever platform you choose: keep clean data you can export, document your workflows and avoid unnecessary customization that locks you in. That way your CRM investment keeps its value if anything changes.

What is a HubSpot Solutions Partner?

A HubSpot Solutions Partner is an agency or consultancy in HubSpot's partner program that helps customers buy, set up and use the platform. Partners vary widely in focus, from marketing campaigns to technical integrations. When comparing options, ask who will actually do the work, how they handle data migration and Canadian privacy requirements, and what support looks like after launch.

What does a HubSpot consultant do?

A HubSpot consultant works out which hubs, tiers and seats your teams need and what it takes to run the portal. Agreed work can include portal setup, record imports, app connections, workflows, dashboards and training. The proposal lists deliverables, exclusions, what your team supplies, how the work is tested and accepted, and whether staying on your current system or another platform would fit better.

Is HubSpot good for a small business in Canada?

A Canadian small business can start on HubSpot's free tools or a Starter tier, but whether that is enough depends on required features, current systems, subscription costs and staff capacity. We assess booking, reporting, customization, privacy and connection requirements before comparing HubSpot with Zoho, Salesforce or CS+. The recommendation is based on the actual scope rather than assuming one platform fits an entire industry.

Which HubSpot tier do we need?

We assess your current order form and pricing model as well as the features, seats and usage you need. Under applicable hub-based subscriptions, sequences require eligible Sales Hub or Service Hub Professional or Enterprise access and the appropriate seat; custom objects and sandboxes have separate requirements. Contact tiers, credits and any notified pricing transition are included where they apply to your account.

Can you migrate us from Salesforce, Zoho or spreadsheets?

We check what your current system can export, which record types, history and permissions come across, and HubSpot's current import limits. The scope lists what will be imported, what stays behind, how imports are checked and which records your team signs off. An import into HubSpot will not fix duplicates or bad data at the source, and it cannot create email consent that was never collected.

Does HubSpot comply with Canadian privacy law?

HubSpot includes consent, subscription and permission settings that can help you meet privacy and CASL obligations, but configuration does not establish compliance on its own. We implement approved consent, subscription, suppression, access and retention rules and review hosting and connected-app data flows. The applicable requirements and final design are for your privacy or legal advisers to decide and approve.

How long does a HubSpot implementation take?

It depends on how many hubs are in scope, HubSpot access, the state of your data, which apps connect and how quickly your team reviews. A project across several hubs may be accepted in stages. The proposal gives a schedule built on your scope and its dependencies, not a standard launch date.

What does HubSpot consulting cost?

Setup and optional monthly management are priced in a written proposal after a discovery call. HubSpot licences are paid to HubSpot and shown separately.

Can you build the website that sends leads into HubSpot?

Yes. The same team can scope a WordPress or Webflow site with HubSpot forms, the tracking code, live chat or call tracking. We confirm which features your hubs support, the permissions involved and how source data will appear before agreeing the connection, because setups differ between portals.

Paying for HubSpot is not the same as using it

A discovery call looks at what your HubSpot subscription includes, which features sit unused and what your staff need, then says whether a portal audit or an implementation scope makes sense.
