Salesforce consulting guide

The complete guide to Salesforce consulting and implementation

Executive summary: Salesforce supports a range of sales and service needs, but fit depends on product entitlements, supported connections and the team that will administer it. Canada Create, founded in 2008, works with organizations across Canada and implements Salesforce as well as HubSpot, Zoho and CS+, our own CRM. Here you will find the role of a Salesforce consultant, when Salesforce is the right platform for a Canadian business, what a proper implementation includes, the integrations and automation that make it useful, how Canadian privacy rules apply to an org, and what clouds, users and the security model mean for the quote.

What a Salesforce consultant does

A Salesforce consultant maps how your sales, service and operations teams work to the clouds, licence types and admin effort an org would demand. Agreed work can cover objects and fields, record types, page layouts, the role hierarchy and sharing, data loads, integrations, Flow automation, reports and user training. Your proposal spells out deliverables, exclusions, the inputs your team provides, how the org is tested and accepted, and which administrator owns it after handover. The recommendation should also identify when Salesforce is more platform than you need and compare a lighter option.

When Salesforce is the right CRM

Salesforce may fit growing and mid-sized companies with several teams, territories or business units, complex permissions, multi-step approvals, and finance or operations systems that need to exchange information. Connection feasibility and the cost of a dedicated or managed administrator still need to be assessed. Small teams can also use Salesforce, including its small-business offerings. For a simple pipeline, we compare the total setup, licence, integration and administration cost with HubSpot, Zoho and CS+ rather than assuming one platform is always cheaper or faster. We put the platform recommendation in writing after discovery so it can be checked against your requirements.

Editions, licences and the Canadian context

Salesforce packaging varies by product and changes over time, so we confirm the current sales and service offering against your requirements and any existing contract. Automation, API access, sandbox types, storage, user licences and add-ons can differ materially. We scope products such as Marketing Cloud, revenue and quoting tools or Experience Cloud only where they serve a defined workflow, and distinguish existing CPQ installations from options available to new buyers. Salesforce licences and consumption charges are separate from our fees. Canadian privacy, messaging and residency requirements are assessed during design with your responsible advisers.

What a Salesforce implementation includes

A Canada Create Salesforce engagement starts with the business problem, existing systems, approved information and responsibilities of the teams involved. The scope lists the clouds and licences, the objects, record types and layouts to configure, the data loads, the systems to connect, and the reports and training included. Data ownership, proposed access and automation requirements are reviewed with the people responsible for them. Testing uses the sandbox or controlled environment supported by the agreed licences. Your team approves representative results against written acceptance criteria before activation; migration exclusions, access limitations and unresolved items are documented. The agreement defines handover, any post-launch fixes and the administrator responsible for ongoing changes. A one-time Salesforce project finishes with training for users and the org administrator. Salesforce’s seasonal releases, new requests and changes in connected systems fall outside it and are scoped separately as administration. AI may help us draft analysis, Flow designs and Apex from approved inputs; our team reviews that work with technical judgement before presenting it for your approval, and runtime automation follows approved permissions and rules.

Integrations and automation that make Salesforce useful

Salesforce orgs are often connected to WordPress or Webflow forms, telephony, Outlook or Gmail, finance systems such as QuickBooks, Sage or NetSuite, advertising platforms, Marketing Cloud, Account Engagement (formerly Pardot), HubSpot or Slack. Whether a connection is feasible depends on your edition and licences, API access, the AppExchange package or connector involved, permissions, vendor support, data direction and API limits. Listing a system here does not establish compatibility with your org or promise a single complete customer record. Flow, Apex or a combined design may be appropriate; complexity, volume, testability and the skills of the team maintaining it affect the recommendation. Middleware, custom applications or private AI components require a defined scope, approved information and a support owner. The proposal states which fields may move, the gaps a connection leaves, the test plan, any consumption charges and who answers for connection failures or vendor changes. Sending Salesforce lead or opportunity data back to Google Ads or Meta is scoped apart from org reporting and waits for consent and platform policy review; sensitive records and minors’ data are not included.

Canadian privacy and consent in Salesforce

Canadian privacy requirements depend on the organization, province and information involved. We implement the consent, access, retention and audit controls approved by your responsible privacy or legal advisers, including PHIPA requirements where applicable. For commercial email sent from Salesforce or Marketing Cloud, CASL generally calls for a recorded consent basis, clear sender details and an unsubscribe that is honoured. Salesforce permissions and hosting options are useful controls, but the assessment also covers connected apps, subprocessors and cross-border processing. Your organization approves the design and remains responsible for its legal obligations; configuration alone is not a compliance determination.

What drives the cost of Salesforce consulting

Cost depends on the clouds and edition in scope, the number of users and roles, the complexity of the security model, the volume and condition of the data being loaded, the systems to integrate, and the Flow or Apex automation, testing, training and support you need. Coming from another CRM adds object mapping, trial data loads in a sandbox and validation. The schedule depends on the scope, org and licence access, data readiness, integration feasibility and how fast your reviewers respond. Projects spanning Sales Cloud and Service Cloud may be accepted cloud by cloud; the proposal shows the order and what each step waits on. After a discovery call you receive a written proposal with each fee, and work begins only once it is approved. Ongoing Salesforce administration is available monthly. Licences stay under your agreement with Salesforce, and our access to the org follows the written scope. Salesforce, AppExchange packages and components we built before your project retain their own intellectual property rights and licence limits. System administrator access, available exports and integration documentation are passed to your team as agreed.

Salesforce consulting questions

What does a Salesforce consultant do?

A Salesforce consultant assesses your business requirements against the products, licences and operating responsibilities involved. The engagement can include agreed configuration, migration, supported connections, automation, reporting and training. The proposal should identify deliverables, exclusions, client inputs, testing and acceptance, including when a lighter platform would better meet your needs.

Is Salesforce right for a small business?

It can be. Salesforce has small-business offerings as well as options for complex teams. We compare the actual process, integrations, licence entitlements and ongoing administration with HubSpot, Zoho and CS+ before recommending a platform.

Which Salesforce edition do we need?

We match your workflows to the current product and licence terms, including automation, API access, storage, sandbox options and usage charges. The recommendation explains which features are included and which require add-ons, rather than choosing by headline seat price alone.

Can you migrate us from HubSpot, Zoho, Dynamics or spreadsheets?

We test exports from the source system, including record types, attachments, history and owners, against Salesforce's current data loading limits, with a trial load in a sandbox where the scope includes one. The migration scope identifies unsupported information, testing and the results your team must approve. Loading data into Salesforce will not clean up problems in the source or supply consent that was never recorded.

Do you build automation with code?

Yes, where it is the right design. We use Flow for suitable declarative workflows, Apex for requirements that benefit from code, or a combination. Volume, complexity, testing and maintainability guide the choice, and we document it for the team taking over.

Does Salesforce comply with Canadian privacy law?

Salesforce has controls that can support Canadian privacy and messaging requirements. We configure approved permissions, consent records, suppression rules and audit trails, and review hosting and integration data flows. Which requirements apply, and whether the design is approved, is decided by your privacy or legal advisers; a configured CRM alone is not proof of compliance.

How long does a Salesforce implementation take?

The schedule depends on the clouds in scope, org and licence access, data readiness, integrations and how quickly your reviewers respond. Sales Cloud and Service Cloud work may be accepted separately. The proposal confirms dates and dependencies for your org rather than a stock timeline.

What does Salesforce consulting cost?

Implementation and optional monthly admin are quoted in writing after a discovery call about your org. Salesforce licences are paid to Salesforce and shown separately. You receive a proposal.
