HubSpot consulting guide
The complete guide to HubSpot consulting and implementation
Executive summary: HubSpot is easy to start and easy to outgrow badly: most businesses that call a HubSpot consultant already own the software and cannot trust what it tells them. Canada Create™ has built websites, lead systems and CRM workflows for businesses across Canada and the United States since 2008, and we implement HubSpot alongside Zoho, Salesforce and our own CRM, CS+. This page explains what a HubSpot consultant does, when HubSpot is the right platform, how the hubs and tiers fit a Canadian business, what a proper HubSpot implementation includes, the integrations that make it useful, what drives cost, and how the work is quoted.
What a HubSpot consultant does
HubSpot consulting is the work of matching HubSpot’s CRM, Marketing Hub, Sales Hub, Service Hub and Content Hub to how a business actually wins and keeps customers, then configuring, connecting and training so the system is used every day. That includes choosing the hubs and tiers you need and none you do not, designing pipelines, properties and lifecycle stages, importing and deduplicating data, building sequences, workflows and templates, connecting the website, phone, calendar and ad accounts, setting up reports and dashboards, and training each role. A HubSpot consultant also tells you when HubSpot is the wrong tool, which is part of the value.
When HubSpot is the right CRM
HubSpot fits businesses that run on email and content: professional services firms, agencies, SaaS companies, private schools, senior living operators and B2B companies with a considered sales cycle. Its free CRM is a credible starting point, its marketing tools are among the most usable, and the reporting across marketing and sales in one database is a real advantage. It fits less well for high-volume booking businesses that need scheduling and recalls at the core, for teams that need heavy customization of objects and permissions at a low licence cost, and for companies whose finance and operations systems need deep two-way integration. In those cases we may recommend Zoho, Salesforce or CS+ instead, and we say so in writing.
Hubs and tiers for a Canadian business
HubSpot sells its hubs in Free, Starter, Professional and Enterprise tiers, and the jump from Starter to Professional is where most of the automation, custom reporting and sequencing lives. The most common mistake we correct is paying for Professional on a hub the team does not use while the hub they need sits on Free. A HubSpot consultant maps your requirements to the lowest tier that delivers them, plans the upgrade path, and confirms the seat count so licence costs are predictable. Licences are paid to HubSpot and are always separate from our fees.
What a HubSpot implementation includes
A Canada Create™ HubSpot implementation starts with discovery: how enquiries become revenue, which tools are in use, who will use the system and what they need to see. From that we design the data model (companies, contacts, deals, tickets and any custom objects), the pipeline stages with exit rules, lifecycle stages and lead status, the properties each role needs, and the permissions that protect sensitive notes. We then build in a test portal or sandbox, import cleaned data, connect forms, chat, calling, meetings, email and ad accounts, build the workflows, sequences and templates for your recurring follow-up, configure dashboards for owners and managers, and train each role before launch. A stabilization period follows launch so friction is removed as it appears.
Integrations that make HubSpot useful
HubSpot’s value grows with the systems around it. The integrations we set up most often are WordPress and Webflow forms with lead source and consent captured, call tracking so phone enquiries become contacts, Google Calendar and Microsoft 365 for meetings and email logging, QuickBooks Online and Xero for quotes and invoices, Google Ads and Meta for offline conversion uploads, Shopify and WooCommerce for order and customer data, and Slack or Teams for deal alerts. Each integration is tested end to end, and we document how data flows so your team can maintain it.
Canadian privacy and consent in HubSpot
PIPEDA governs how personal information is collected and used, and CASL requires consent before commercial electronic messages are sent. HubSpot supports both when it is configured correctly: consent fields on every form, subscription types that match the messages you send, automatic unsubscribe handling, data hosting region chosen deliberately, and access restricted to the staff who need it. We build these into the implementation rather than adding them later.
What drives the cost of HubSpot consulting
Cost depends on the hubs and tiers in scope, the number of users, the amount and condition of existing data, the integrations required and how much automation is built in the first phase. Migrating from another CRM adds mapping and validation work. A focused implementation for a small team often runs a few weeks from discovery to launch; multi-hub projects with several integrations take longer. Every fee is quoted in writing before work starts, and you receive a proposal within one business day of a discovery call. Ongoing HubSpot management is available monthly for businesses without an in-house administrator.

HubSpot consulting questions
What does a HubSpot consultant do?
A HubSpot consultant matches HubSpot's hubs and tiers to how your business sells, designs the data model and pipelines, migrates and cleans data, connects your website, phone, calendar and ads, builds workflows and sequences, configures reports and trains your team.
Is HubSpot good for a small business in Canada?
Yes for businesses that run on email and content, such as professional services, agencies, SaaS, private schools and B2B companies. High-volume booking businesses and teams needing low-cost deep customization may be better served by Zoho, Salesforce or CS+, and we say which in writing.
Which HubSpot tier do we need?
The lowest tier that delivers your requirements. Most automation, custom reporting and sequencing starts at Professional. We map requirements to tiers and confirm seat counts so licence costs are predictable.
Can you migrate us from Salesforce, Zoho or spreadsheets?
Yes. Data is cleaned, deduplicated and consent-mapped before import, and validated afterward so the new portal starts with records you can trust.
Does HubSpot comply with Canadian privacy law?
HubSpot supports PIPEDA and CASL requirements when configured correctly: consent fields, subscription types, automatic unsubscribe handling, a deliberately chosen hosting region and restricted access. We build these into every implementation.
How long does a HubSpot implementation take?
A focused implementation for a small team often runs a few weeks from discovery to launch. Multi-hub projects with several integrations take longer, and your written plan includes a timeline.
What does HubSpot consulting cost?
Our setup and optional monthly management are quoted in writing after a discovery call. HubSpot licences are paid to HubSpot and shown separately. You receive a proposal within one business day.
Do you also build the website that feeds HubSpot?
Yes. The same team builds and maintains WordPress and Webflow sites and connects forms, chat and call tracking to HubSpot with lead source and consent captured.

Paying for HubSpot is not the same as using it
Unused seats, half-built workflows and reports nobody believes are the usual signs. A short discovery call shows what your portal is missing and what it takes to fix it.
