What the agreed CRM scope can support

Defined enquiry responsibility

Supported enquiry capture, approved acknowledgements and staff ownership, with unreviewed requests and known delivery gaps identified.

Renewal work planned ahead

Agreed date references and staff responsibility checked against authoritative policy records; a reminder does not renew or extend coverage.

Coverage review opportunities

Permitted context for a licensed professional’s assessment; missing information does not establish a coverage gap or suitable recommendation.

Clear reporting for owners

Agreed enquiry, quote and policy measures with source coverage and missing information made clear. Premium is not brokerage income.

What is included in insurance CRM setup

Your written scope identifies commissioned functions, firm approvals, available data and vendor dependencies. Not every feature or ongoing service is included in every project.

The guide

Insurance CRM software: what Canadian brokerages should know

An insurance CRM can support permitted prospect and client relationships, administrative tasks and recorded service responsibilities. The buying decision is how it fits your broker or agency-management system, carrier tools, policy records and approved document storage. Canada Create assesses, configures and manages CS+ or another suitable platform within an agreed scope. We help brokerages and agencies compare supported connections, migration, staff approvals and total cost. Licensed advice, underwriting, eligibility, premiums, binding coverage and claims decisions remain with the authorized professionals and insurers.

What an insurance CRM does for a brokerage

The short definition

CRM stands for customer relationship management. In insurance, it may hold approved contact details, relationships, enquiry status, policy references and communication permissions. Define which administrative questions it must answer and which records remain authoritative elsewhere. A task, date or status in the CRM does not establish coverage, a valid renewal, claim acceptance or permission to disclose another person’s information.

Assessing your current records

A spreadsheet can support a small book, but disconnected records make it harder to coordinate producers, account managers and marketing. Review where quote requests, coverage questions and renewal dates are recorded today. A CRM can bring the relevant information into a shared timeline, with permissions, an owner and a due date for the next action.

What it is not

A CRM usually coordinates relationships alongside rating, policy, claims and accounting systems, although product functions can overlap. The agreed scope identifies authoritative records and supported interfaces. Our CRM administration does not assess insurance eligibility, set premiums, determine coverage, bind or cancel policies, approve claims or move client money. Those actions require the applicable insurer, contractual and professional authority.

Visibility and service responsibilities

For owners, the goal is visibility into permitted enquiries, quote status, renewals and staff responsibilities. Reports depend on recorded information and consistent definitions. For client service, the goal is clear responsibility for requests and unresolved items. Software does not guarantee response speed, retained policies, written premium or satisfied clients.

Insurance CRM vs your broker management system

A broker management system (BMS), also called an agency management system (AMS) in some products, may include policy administration, accounting, sales and renewal functions. Identify the authoritative record for each part of your operation. Carrier documents, brokerage systems and accounting records can have different roles; a product label does not settle that decision.

A CRM may cover prospective clients, permitted relationships, enquiry status, communication records and staff tasks. Some BMS products include these functions already. Compare the actual functions and licences before adding another system. Avoid duplicating policy records or permissions without a defined responsibility for discrepancies.

Do you need both?

Whether you need a separate CRM depends on what your BMS already supports and where the workflow has gaps. Test web leads, referrals, renewal tasks, consent and reporting in the current system first. A separate or integrated CRM is useful when it adds the functions your team needs without duplicating records unnecessarily.

The integration decision is to agree the authoritative sources and the information staff may use, including policy references, dates and assigned responsibility. CSIO develops insurance data standards for broker–insurer exchange. That does not prove that your particular BMS and CRM can exchange the required information. Confirm the current interface, supported records and carrier or vendor approvals before commissioning a connection.

The other CRM: the Canadian Risk Management designation

In Canadian insurance education, CRM can refer to the Canadian Risk Management designation awarded by the Risk and Insurance Management Society (RIMS), with courses offered through recognized providers. That meaning is separate from customer relationship management software.

This page covers CRM software implementation and administration. We do not offer the designation, courses or exams, and using CRM software does not confer an insurance licence or professional credential. Consult the designation provider for its current education requirements.

Insurance work can involve sensitive personal, financial and health information. Your firm determines the applicable requirements and approves which information belongs in the CRM, who may access it and which records remain in a restricted system. We assess supported configuration against that scope; software setup is not a privacy or regulatory compliance certification.

PIPEDA and provincial privacy law

PIPEDA and applicable provincial privacy laws depend on the business, activity and data flow. Alberta, British Columbia and Quebec have their own private-sector legislation. Your privacy lead identifies applicable requirements, including any Quebec privacy impact assessment duties. The scope should identify necessary information, restricted records, processing locations, vendor access, retention, export and incident responsibilities. Required records and legal holds may limit deletion. A Canadian hosting location or a private deployment alone does not establish lawful or secure handling.

CASL and marketing messages

CASL applies to commercial electronic messages subject to its requirements and exceptions. Consent, identification and unsubscribe obligations depend on the communication and circumstances. The firm approves permitted purposes, available evidence and withdrawal handling; an existing policy or CRM consent label does not authorize every future promotion. Distinguish service correspondence from marketing by its actual purpose and content, rather than assuming that a list name establishes an exemption.

Licensing regulators

Licensing and conduct requirements depend on the province or territory, product and activity. In Ontario, RIBO regulates general insurance brokers, while FSRA licenses general insurance agents as well as life and accident-and-sickness agents. These roles are not interchangeable. Your responsible principal, compliance lead or professional adviser confirms the requirements and approves the records, access and communications in scope. A CRM does not grant a licence, binding authority or authority to decide a claim.

Assessing the software you already use

Before selecting another platform, establish what your current BMS, carrier tools and licences already cover. Assess the administrative gaps, duplicated information, record permissions and cost of adding another system. A targeted improvement may be more suitable than replacement if the existing product supports the agreed requirements.

Broker management systems can include sales and communication features as well as policy administration. Compare the particular edition and approved connections your team can use. The proposal should identify existing functions, additional work, unavailable interfaces and retained manual responsibilities.

General platforms such as Salesforce, HubSpot and Microsoft Dynamics 365 can be assessed alongside specialist tools and your existing system. Product fit depends on the exact scope and available functions. An insurance template does not establish Canadian carrier access, required permissions or firm approval. Include implementation, support and exit costs in the comparison.

Features that matter in insurance CRM software

Contact and household records

A household or business may involve policyholders, insured people, beneficiaries, owners, employees and authorized representatives with different roles. The CRM should distinguish those relationships and the limited policy context each person may receive. A household link, named beneficiary or employer relationship does not itself give access to another person’s health, claims or financial information.

Enquiry and quotation responsibilities

Agree which enquiry and quotation status information staff need, where it comes from and who confirms changes. Distinguish a requested quote, an insurer-issued offer, client instructions and a bound policy. A CRM stage or staff task does not prove that a quote remains valid or that coverage has taken effect.

Renewal and x-date tracking

A prospect’s reported expiry date may be useful context when obtained appropriately. Confirm the source, accuracy and permitted contact purpose before relying on an x-date. The date does not establish a coverage gap, willingness to switch or continuing marketing permission.

Administrative tasks and staff review

Assess the tasks, reminders and approved messages the selected product can support, together with staff review, permission changes and handling of failed or disputed records. Automation scope should identify who can pause or amend a communication. Our CRM service does not make regulated insurance decisions or promise that every request will be handled on time.

Communication logging

Confirm which calls, emails, texts and notes can be recorded, the permitted purpose and access, and what history the product can retrieve or export. Staff need a way to address missing or incorrectly associated information. General activity views should not expose confidential health or claims details to everyone covering an account.

Reporting

Agree report definitions for recorded enquiries, issued quotes, bound policies, renewals and available source information. Identify incomplete records, cancellations, duplicate entries and attribution gaps. A report of written premium is not a report of brokerage income or claim outcomes.

Permissions and audit trail

Compare the exact product’s role permissions, audit history, editing restrictions, exports and retention controls. Your firm decides the required access and recordkeeping arrangements, including separate treatment of confidential documents. A feature name or licence purchase does not prove that the controls meet those requirements.

Best CRM for insurance agents: how to compare platforms

There is no single best CRM for insurance agents. Compare the selected product and implementation scope against your lines of business, firm requirements, current systems and budget. Representative demonstrations, supported interfaces and written exclusions are more useful than a generic ranking.

Three general platforms to compare

Salesforce, HubSpot and Microsoft Dynamics 365 are examples of configurable general CRM platforms. Compare the current insurance features, supported Canadian integrations, permissions and cost of the edition you would use. A product name alone does not tell you how much setup your brokerage needs.

Insurance specific and lighter tools

Compare specialist and lighter products by their actual policy-reference, relationship, permission and communication functions. They are not necessarily faster or cheaper for your requirements. Confirm Canadian availability, BMS interfaces, language support, exports and ongoing administration for the exact plan.

Questions to ask any vendor

  • Can it read renewal dates and lines of business from our BMS, and how often does that sync run?
  • Which data locations, processing providers, export rights, retained records and exit charges apply?
  • Can we store consent source, date and type on every contact?
  • Does it support French and English templates if we serve Quebec or bilingual clients?
  • What total licence and usage charges apply to the users and functions we need?
  • Who configures it, and who supports it after launch?

Where CS+ fits

CS+ is Canada Create’s CRM and can be assessed for an agreed marketing-side relationship and administration scope. We can also assess your current platform and supported changes rather than assuming a replacement is needed. The recommendation depends on your firm’s requirements, available interfaces and total cost. Firm or carrier approval, policy functions and unrestricted BMS connections are not implied.

Free CRM for insurance agents: limits and full cost

HubSpot and other vendors offer free CRM tools with current plan limits. Before using a free or paid edition for insurance information, compare the required users, permissions, records, exports and approved data arrangements. A licence with no charge does not establish suitability for a regulated insurance file.

Compare the free plan’s current users, fields, automation, reporting and exports with your requirements. Consent, permissions, retention and secure handling need review on paid plans too. Budget for configuration, integrations, support and a future migration even when the software licence is free.

Before committing to a free plan, identify the configuration work, required paid features, operational support and possible future migration costs. Ask what information can be exported and what remains unavailable if you change providers.

Implementation scope and client responsibilities

Requirements and approvals

Confirm the lines of business, current systems, users and administrative problems the engagement will cover. Your firm supplies its applicable requirements and identifies who can approve access, client-facing content, record treatment and acceptance. The proposal sets out deliverables and exclusions before work starts.

Permitted records and migration coverage

Migration scope depends on available exports, relationship quality and the right to transfer or reuse information. Sensitive health, financial, identity and claims records may need to remain in approved restricted systems. Your team resolves uncertain policyholder identities, household links and permission gaps. A sample check can reveal problems without proving that every imported record is correct.

Supported connections and dependencies

For each proposed connection, identify the exact product and edition, vendor approval, permitted data, update direction and timing, fees and responsibility for failures. Some records or interfaces may be unavailable. Our WordPress development service can be scoped for supported enquiry connections, with sensitive documents directed to approved systems rather than a general marketing form.

Representative review and acceptance

Agree the functions, permissions, communication purposes and reports your team will review. Use synthetic or appropriately de-identified examples where suitable; any client-data access needs approval and appropriate handling. The scope should identify unresolved records, acceptance criteria, retained archives, transition dependencies and recovery responsibilities.

Training, handover and ongoing responsibility

Specify the roles to be trained, agreed materials and the administration your team retains. Identify who handles product support, record discrepancies and approved changes after launch. Monthly management or additional functions require the agreed scope and fees; training does not replace licensing or professional supervision.

Renewal and communication responsibilities

These potential uses help define the scope your firm is buying. Assess each against the selected product, permitted information and staff availability:

  • Renewal responsibilities: authoritative expiry information, responsible staff and the administrative status they need. A reminder does not renew, extend or bind coverage.
  • Coverage-review requests: permitted context for a licensed professional’s assessment. A missing policy type in the CRM does not establish a coverage gap or suitable recommendation.
  • Life and business changes: limited information and approved staff responsibility when a client reports a change, without automatically altering coverage, beneficiaries or eligibility.
  • Unsuccessful enquiries: agreed record retention and permitted future contact, without treating a lost quote or stored expiry date as indefinite marketing permission.
  • Feedback handling: agreed request and public-response responsibilities, with confidential policy, health and claims information excluded. Any review collection must follow applicable platform and professional rules.
  • New enquiry response: supported capture, any approved acknowledgement and responsibility for unreviewed or failed requests. An acknowledgement does not confirm licensed review or insurance eligibility.

Agree staff control, permissions, delivery gaps and the treatment of conflicting information. The responsible insurer or professional retains the substantive insurance decision. A logged message is not proof of receipt, an accepted instruction or completed service.

What insurance CRM costs and how to judge the return

Compare setup, any monthly management and third-party charges. A licence price alone does not describe the full cost of migration, connections, staff work and ongoing administration.

Setup

Setup is a quoted project covering the agreed assessment, records, migration, configuration, supported connections and training. Data availability, permissions, vendor dependencies and client approvals affect scope and timing. Work outside the agreement is assessed and quoted separately.

Monthly management

Monthly management can cover agreed administration, reporting, user changes and approved improvements. Decide which responsibilities remain in-house and which are commissioned, including vendor support and unresolved data issues. New functions are not automatically included in an existing monthly fee.

Third party costs

Third-party costs can include CRM licences, messaging and calling usage, connectors, document services and separately approved advertising spend. Check the current quote for the exact product, currency, billing term, included usage and optional charges. This applies to Agent CRM and other named tools; a headline monthly price does not establish Canadian availability or BMS compatibility.

Cost driverScope to compareClient or vendor dependencies
Users and rolesRequired users, roles and access boundariesLicence minimums and the permissions each role needs
PipelinesLines of business and required administrative functionsFirm approval and the functions already included in current tools
DataAvailable exports, history, attachments and permission evidenceClient decisions on uncertain identities, restricted records and archives
IntegrationsSupported interfaces, direction, update timing and usageVendor access, connector fees and failure responsibilities
AutomationApproved administrative tasks and communication purposesProduct limits, language requirements and staff review
ReportingAgreed measures, source coverage and report accessIncomplete records, attribution limits and continuing administration

Judging the return

Track response time, quote-to-bind rate, renewal retention and known enquiry sources under consistent definitions, with incomplete or cancelled records identified. Premium volume is not brokerage income, and faster responses alone do not prove financial return. Compare measured incremental net commission or fee contribution and costs actually avoided with setup and operating costs. Released staff capacity is not automatically a cash saving. Carrier decisions, market conditions, pricing and staffing can affect results, so a before-and-after change does not establish CRM causation.

CRM in life insurance, health insurance and commercial lines

Life insurance CRM software

Life insurance work can involve the policyholder, insured person, beneficiary, advisor and insurer with different authority. Scope permitted application or underwriting status, review responsibilities and record references. Medical evidence belongs in approved restricted systems; CRM administration does not determine insurability, underwriting terms, coverage or beneficiary changes.

Health insurance CRM

Group benefits and individual health or dental work may need permitted enrolment dates, renewal information and responsible contacts. Employer, plan-member, insured-person and dependant records have different disclosure permissions. Confirm which administrative information staff may see; employers should not receive confidential member health or claims information simply because records are linked. The insurer or authorized administrator determines eligibility and claims decisions.

Personal lines

Home and auto work may need policyholder and insured-party relationships, permitted vehicle or property references and current quote or renewal status. Confirm the authoritative source and the people who may approve changes. Our CRM administration does not determine price, coverage, suitability or binding authority.

Commercial lines

Commercial and specialty files can involve companies, locations, authorized representatives, certificates and several insurers. Scope the permitted relationship and status information, staff responsibilities and document references. Certificate issuance, coverage interpretation and changes to the insured risk remain with the authorized professionals and systems.

Managing general agents and wholesale

MGA and wholesale work may involve broker relationships, submissions and carrier appetite information. Confirm product, contractual authority and access restrictions for each role. A stored appetite note is not an underwriting commitment, quotation, bound policy or claims decision.

Lead generation that feeds your insurance sales CRM

Marketing can be scoped separately if your firm wants help with permitted enquiries as well as CRM administration. Assess the audience, approved services, staff capacity and available measurement without assuming a new platform will create demand or qualified business.

  • SEO scoped around the firm’s approved services and relevant information, without promised rankings or insurance enquiries.
  • Local SEO and eligible Google Business Profile work for accurate service and office information.
  • Google Ads management assessed against current eligibility, approved claims and separately agreed measurement.
  • Web design and WordPress development with supported enquiry connections and approved destinations for sensitive records.
  • Website hosting with its own plan, support and availability terms.

Where permitted information is recorded consistently, internal reports can compare available enquiry sources with quote and policy outcomes. Missing attribution and other influences must remain visible. Advertising uploads are a separate decision: health, claims, underwriting and confidential financial records stay out of our ad payloads. Any eligible enquiry conversion information requires purpose, consent and current platform-policy review. SEO, advertising and CRM work are custom-scoped after discovery, with client professional approval where applicable.

Insurance CRM questions

What is CRM for insurance?

It is customer relationship management software used for permitted prospect and client relationships, enquiries and administrative tasks. The scope identifies what belongs in the CRM and what stays in broker-management, carrier, policy, claims or accounting systems. A CRM record does not establish coverage, eligibility, a valid renewal or claim approval.

What is the best CRM for insurance?

Fit depends on your lines of business, firm requirements, users, current systems and budget. Compare the exact edition, Canadian availability, supported BMS interfaces, permissions, exports, language requirements and total cost. A ranking or insurance template does not prove that the product is approved or suitable for your firm.

Which general CRM platforms should insurance teams compare?

Salesforce, HubSpot and Microsoft Dynamics 365 are examples to assess, alongside specialist products and CS+ where suitable. Confirm the selected edition, available interfaces, permitted data, licences and implementation work. No product name alone establishes Canadian carrier access, policy functions or approval by your firm.

What is the best free CRM for insurance agents?

HubSpot and other vendors offer free CRM tools with current limits. Assess the exact permissions, records, exports, usage and data arrangements before storing insurance information. A free licence does not establish suitability for health, claims or financial records, and setup, support or required features may still be paid.

Is there a totally free CRM?

Some CRM editions have no software licence charge. Configuration, integrations, appropriate data handling, administration and future migration can still cost time or money. Compare the complete scope and current plan limits rather than assuming a free edition can support every required control.

How much does Agent CRM cost per month?

Check Agent CRM’s current offer or written quote for the plan, currency, billing commitment, included usage, optional upgrades and messaging or calling charges. Confirm Canadian availability and required connections separately. Our implementation or management fees are quoted for the agreed work and are distinct from the software vendor’s charges.

What is the difference between an insurance CRM and a BMS?

A BMS or AMS may hold policy, accounting, sales and renewal functions, while a CRM may focus on relationships, enquiries and administrative work. Features overlap. Your firm identifies the authoritative records; we assess whether current functions are sufficient and which supported additions or connections are worth commissioning.

What does CRM mean in insurance courses?

In Canadian insurance education, CRM can refer to the Canadian Risk Management designation awarded by RIMS. This is separate from customer relationship management software. We provide CRM implementation and administration, not the designation, courses, exams or an insurance licence.

How long does it take to set up an insurance CRM?

Timing is agreed after assessing the records, required functions, vendor access, client approvals, training and transition arrangements. The proposal identifies dependencies and the work your team must supply. A small user count alone does not establish a short implementation timeline.

Does an insurance CRM help with CASL?

Supported CRM functions can retain permission evidence and withdrawal information for approved communication purposes. CASL requirements and exceptions depend on the message and circumstances. Your firm or qualified adviser determines their application; a consent field, existing policy or separate service list does not itself establish compliance.
