Real estate leads
An enquiry engine that belongs to you
Real estate leads are the buyer, seller and rental enquiries that reach an agent, team or brokerage: a homeowner asking what their semi is worth, a couple registering for Saturday’s open house, a renter asking about a condo lease, a past client’s friend looking for an agent. This page is for agents, teams and brokerages who want those enquiries to come from their own campaigns, listing and valuation pages and profiles, in their own name, and to be followed up fast and patiently until they become signed listings and accepted offers. Canada Create is a Toronto digital agency at 126 Willowdale Avenue, serving agents and brokerages across Canada since 2008. We build the enquiry engine and the follow-up behind it as part of our lead generation services.

How buyers and sellers search, and how agents get chosen
The people who become your clients search for homes and answers long before they search for an agent. Buyers type homes for sale in Leslieville, condo for sale near Yonge and Eglinton, or townhouse for sale in Milton. Sellers type home value, what is my house worth, or how much did the house on my street sell for. Some search realtor near me or ask friends for the name of a good agent in a specific area.
What sellers weigh
Sellers choose on local knowledge, reviews and the first agent who gets back to them with something useful: a realistic price range, recent sales nearby and a clear plan. An agent who sends a thoughtful valuation the same evening usually gets the listing appointment, while one who replies three days later with a generic package often does not.
What buyers weigh
Buyers want fast alerts on new listings that match their search, honest advice on neighbourhoods and condo buildings, and an agent who answers on weekends. First time buyers also want patience; many will look for months before making an offer.
Your own enquiry engine versus bought lead lists
Agents are offered leads from many directions: lists of homeowners, shared buyer leads sent to several agents at once, referral programs that take a share of your commission at closing, and portals that sell placement by area. Some agents do well with them. The common trade offs are that the same contact may have been sent to other agents, the person may never have heard your name, and when you stop paying, the flow stops.
We build the other model. The enquiries come from your own Google and social campaigns, your own website with valuation and listing pages, your own Google Business Profile and your own past client and sphere campaigns. Each enquiry arrives in your name, after the person has seen your listings, your neighbourhood pages or your reviews. Nobody else received the same contact, and the history stays with you.
Why ownership matters to a team
For a team or brokerage, owned lead flow also means you can see which sources produce signed listings, route enquiries to the right agent, and keep the database when an agent moves on. A list you rented gives you none of that.
Seller, buyer and rental leads are different jobs
Treating every enquiry the same is one of the most common reasons good leads go cold. Each type needs its own page, its own questions and its own follow-up.
- Seller leads are the most valuable and the slowest. A homeowner asking for a valuation may be months or years from listing. They need a careful first reply, a real valuation and patient nurture.
- Buyer leads arrive in larger numbers and move faster, but many are browsing. They need quick answers, listing alerts that match their criteria and a clear path to a showing and a mortgage pre-approval conversation.
- Rental leads come quickly and decide quickly. For agents who handle leases, fast screening questions and showing slots matter more than nurture. Rental enquiries can also become buyer clients a few years later.
- Investor and pre-construction enquiries need numbers, floor plans and deposit structure explained clearly, and they often come from repeat clients.
We set up separate forms, tags and pipelines for each so your team can see at a glance what kind of conversation each enquiry needs.
Home valuation pages for seller leads
A home valuation page is the classic seller lead tool, and it works when it is honest. Homeowners are tired of instant estimates that miss renovations, lot size and the street’s real character. A valuation page that offers a prepared estimate from you, based on recent nearby sales and the home’s features, attracts sellers who are serious about knowing their number.
What the page should ask
Ask for the address, property type, approximate size, recent renovations, timing and how they prefer to be contacted. A few optional fields, such as finished basement, parking or condo amenities, help you prepare a better range. Then say plainly what happens next: you will prepare a range from recent sales and contact them, usually with a short call to confirm details.
The reply that wins the appointment
An automated number sent back in seconds feels like every other site. A short personal note within the hour, saying you have seen the request, naming one or two recent sales nearby and asking a single question about renovations, tells the homeowner a real agent is paying attention. The full range follows after that call, and the listing presentation is a natural next step rather than a hard ask.
Neighbourhood versions
Valuation pages by neighbourhood or building, such as what is my condo worth at a named tower or home values in a specific neighbourhood, match how sellers search and let you show local sales that make the page credible. These pages also help organic search, which our SEO for realtors and teams covers in depth.
Listing, neighbourhood and open house pages for buyer leads
Buyer leads come from pages that help buyers do what they already want to do: see homes, understand areas and visit in person.
Listing pages that capture interest
Each of your listings deserves its own page with full photos, a floor plan, neighbourhood notes, and a way to book a showing or ask a question. A buyer who enquires about a specific listing is a warm lead even if that home is not right, because you now know their budget and area.
Buyer search alerts
Letting a buyer save a search and receive alerts for new listings that match their criteria keeps you in their inbox every week with something they asked for. Alerts are one of the most reliable ways to turn a browsing buyer into a showing request, and each alert sign-up should be tagged with the area and price range so your agent knows what to say.
Open house registration
Online registration for open houses, with a sign-in at the door that records consent to follow up, turns walk-ins into contacts. A follow-up the next morning with similar listings and an offer to arrange private showings often reaches buyers before other agents do. Our website design for agents and brokerages covers how these pages are built.
Search ads and social lead forms that feed the pipeline
Paid campaigns are one of the fastest ways to start your own lead flow. Google search ads catch buyers and sellers searching now, and Facebook and Instagram lead forms reach homeowners and renters who are not searching yet. The detailed setup of Google campaigns for agents is covered on our real estate advertising page; here the focus is on what happens to the leads they produce.
Lead forms that do not flood you with noise
Social lead forms are quick to fill, which means some are filled by accident. Adding one or two qualifying questions, such as timing to buy or sell and the area, slows down casual taps and gives your agent context for the first call. Every form submission flows straight into CS+ with its source, so no lead sits in an ad account inbox.
Housing ad rules
Housing ad rules limit demographic and narrow location targeting, so campaigns cannot be aimed by age, gender, family status or very small areas. Campaigns instead rely on message, creative and broader geography, which makes the landing page and follow-up even more important.
Speed to lead with CS+ and AI reply
An online enquiry about a home is often sent to more than one agent, and the first useful reply has a real advantage. Agents spend their days in showings, listing appointments and negotiations, so replies slip.
The first reply
When an enquiry arrives, CS+ can send an immediate, personal acknowledgement by text or email, with consent, and assign the lead to the right agent by area, language or lead type. The agent gets a notification with the source, the listing or valuation request and any answers from the form. A reminder follows if nobody has called within the time your team agrees on.
AI reply after hours
An AI assistant can answer common questions on a listing, such as parking, maintenance fees or showing times, collect the buyer’s criteria and book a call with the agent, around the clock and in your team’s name. It never gives valuations or advice on offers; it keeps the conversation alive until a licensed agent takes over. Our AI follow-up for agents and teams covers what it can and cannot do.
Routing for teams
Round robin, area based or language based routing, with a fallback when an agent does not respond, keeps enquiries from waiting on one person’s busy afternoon. Our real estate CRM setup details the routing and pipeline options.
Nurture, sphere and past client campaigns
Many seller leads are not ready for a year or more. A homeowner planning to downsize when the kids finish school, or a landlord waiting for a lease to end, needs a calm, useful presence until the timing is right.
Nurture that sellers welcome
Monthly market notes for their neighbourhood, recent sales on their street, a seasonal home maintenance checklist and an occasional personal check-in keep you top of mind without pushing. When their plans change, they already know who to call. Our real estate newsletter service handles the market update side.
Sphere and past clients
Past clients and your personal sphere are often the richest source of referrals and repeat business. A purchase anniversary note with an updated value range, an invitation to a client event, and a simple way to refer a friend turn goodwill into enquiries. CS+ keeps track of who referred whom so you can thank them properly.
Life events that start a move
Most moves begin with a life change: a new baby, a job across the city, children leaving home, a separation, retirement or an estate. You cannot target ads by those events, and you should not try, but your nurture content can speak to them gently. A guide to downsizing from a family home, a note on selling an estate property, or a checklist for buyers relocating to the GTA gives people a reason to reply when their own moment arrives.
Re-engaging cold leads
A buyer who went quiet six months ago may be ready now. A short, personal re-engagement message with new listings in their old search area brings some of them back, at no ad cost.
Lead quality and tracking to the signed listing
Lead counts are easy to inflate and hard to bank. A campaign that produces many cheap buyer leads who never take a showing is worth less than one that produces a handful of valuation requests that become listings.
What we track
Each enquiry is tagged by source, type and area, then followed through stages: contacted, appointment, showing or listing presentation, signed listing or signed buyer representation, offer accepted and closed. Monthly reports show which sources produce appointments and signed listings, not just form fills. Teams can also see response time by agent and which agents convert which lead types.
Where this fits in your marketing
Lead generation sits inside the wider plan on our real estate marketing hub, alongside listing presentation, branding and content. Agents building an audience on Instagram and Facebook can read about our social media work for realtors.
Advertising rules and consent for agents
Real estate lead generation runs into advertising and consent rules quickly, so we plan around them from the start.
Brokerage identification and accurate claims
In Ontario, the Trust in Real Estate Services Act (TRESA) and RECO set advertising rules: ads must clearly identify the brokerage the agent is registered with, and claims, such as sales records or titles, must be accurate. Other provinces have their own regulators and rules. Landing pages, social lead forms and valuation pages all count as advertising.
Consent for email and texts
CASL makes buying email lists or cold emailing homeowners without consent a problem. Implied consent from an enquiry exists but is time-limited, so nurture campaigns should ask for express consent early and record it. Every message needs sender identification and an unsubscribe. PIPEDA sets general expectations for personal information, and no sensitive personal details should be used in analytics or ad targeting.
No promises of results
No one can honestly promise a number of leads, closings or a cost per lead. This is a marketing observation, not legal advice.
How we work with agents, teams and brokerages
We start with a free review of where your enquiries come from today: your website, valuation and listing pages, Google Business Profile, ad accounts, social lead forms, open house process, database and how quickly leads get a reply. We also ask about the deals you want more of, such as listings in a specific area, condo buyers or investor clients.
Then you receive a custom proposal with our fees quoted in writing. It lists the pages, campaigns, CS+ pipelines, routing and nurture we recommend, with ad budgets paid directly to the platforms. Once approved, we build in agreed milestones and you review each piece, including brokerage identification on every page and ad.
Monthly reports show enquiries by type and source, response times, appointments and signed listings in plain language. Your website, ad accounts and database stay in your name or your brokerage’s, as agreed with your broker of record.
What a real estate leads program costs
Our fees are quoted in writing after the free review. If SEO is part of the plan, it is quoted in writing too. Ad spend goes directly to Google, Facebook or Instagram and is shown separately, as are software licences.
What drives the price for an agent or team
- Lead types: a seller-only valuation funnel is lighter than seller, buyer, rental and pre-construction pipelines together.
- Areas covered: each neighbourhood or building page adds content and upkeep.
- Team size and routing: a solo agent needs a simpler pipeline than a team with round robin routing and agent reporting.
- Database cleanup: importing, tagging and getting consent from an old contact list takes work up front.
- AI reply and nurture: after-hours AI answering and monthly market updates each add scope.
How to choose a partner for real estate leads
Before you pay anyone for real estate leads or lead systems, ask:
- Who owns the accounts? The answer should be you. Ad accounts, the website, the CRM and the contact database should be in your name or your brokerage’s.
- Are the leads exclusive? Enquiries from your own campaigns go to you alone; shared leads may go to several agents.
- What do you report? Ask for appointments and signed listings by source, not only lead counts and cost per lead.
- How is consent handled? Lists bought without consent create CASL problems.
- Will every ad show my brokerage correctly? Brokerage identification is a regulatory requirement in Ontario.
- Do you promise a number of leads or closings? If yes, be careful; no honest partner can.

Real estate leads questions from agents
How much do real estate leads cost?
Bought leads are priced by the seller, per lead, per area or as a share of commission at closing. Building your own lead flow means paying for pages, campaigns and follow-up setup, with our fees quoted in writing, plus ad spend paid directly to the platforms. Since no one can honestly promise a cost per lead, the useful measure is what you spend per signed listing or closed deal, tracked over time.
Where do most realtors get their leads?
Many agents rely on past clients, their personal sphere and referrals, then add online channels such as their website, home valuation and listing pages, Google Business Profile, search ads, social lead forms and open houses. Some buy leads from portals or referral services. The agents with the steadiest pipelines usually combine owned sources with patient follow-up of everyone who has ever enquired.
How do I get more buyer leads?
Give buyers what they already want: listing pages with full photos and floor plans, neighbourhood and building pages, saved searches with new listing alerts, and open house registration. Search ads and social campaigns can drive traffic to those pages. Reply quickly, ask about their timing and financing, and keep sending alerts that match their search until they are ready to book showings.
How do I get seller leads in my farm area?
Seller leads come from valuation pages for your neighbourhoods or buildings, recent sales notes, a strong Google Business Profile with local reviews and patient nurture. Mailings and door knocking still work alongside digital campaigns. Online, a valuation offer backed by a real prepared estimate attracts homeowners who are serious about knowing their number, and monthly market notes keep you in mind.
How can I get free real estate leads?
The leads that cost no ad spend come from your sphere, past clients, open houses, a well kept Google Business Profile, organic search on neighbourhood pages and social posts. They still take time. A simple system that records every contact, asks for consent, sends useful updates and reminds you to call is what turns those free sources into steady appointments.
What is lead generation in real estate, with an example?
Lead generation is creating conversations with people who may buy, sell or rent. An example: a homeowner in Leaside fills in your valuation page, gets an instant thank you, receives your prepared range that evening, books a call, joins your monthly market notes and, nine months later, signs a listing with you. The work is both the page that started it and the follow-up.
What should a CRM for realtors do?
It should collect every enquiry from your site, ads, lead forms and open houses in one place, tag each by type and area, route it to the right agent, remind you to follow up, send consented nurture emails and texts, and report on appointments and signed listings by source. CS+ is our CRM and covers these tasks; whichever you choose, the data should be in your name.
Are Facebook real estate leads any good?
They can be, but quick forms attract casual taps. Adding a qualifying question or two, such as timing and area, and replying within minutes improves quality noticeably. Treat these as early stage leads: many need weeks or months of nurture. Judge the campaign by appointments and signed listings over time rather than lead counts in the first week.
Can I email homeowners in my area without consent?
Under CASL, cold emailing or texting homeowners without consent, including from bought lists, is a problem. An enquiry gives implied consent for a limited time, so ask for express consent early and record it. Each message needs your name, brokerage and an unsubscribe. Mailings and door knocking follow different rules. This is a marketing observation, not legal advice.
How fast should I respond to a new real estate lead?
As fast as you reasonably can, ideally within minutes during working hours. Buyers and sellers often contact several agents, and the first one with a useful reply usually gets the conversation. An instant acknowledgement, routing to an available agent, reminders when nobody has called and an AI reply after hours keep response times short even on busy days.

The valuation request you answer tomorrow may already have an agent
Sellers and buyers often contact more than one agent, and the first useful reply wins the appointment. Start with a free review of your lead flow and follow-up.
