Mortgage CRM guide

Everything to know before you choose a mortgage CRM

A CRM for mortgage brokers is the system that holds every borrower, referral partner, application, condition and renewal date in one place, and then acts on that data so no file stalls and no past client is forgotten at maturity. The best mortgage CRM for a Canadian brokerage is the one that fits how your deals actually move: from lead to pre-approval, through submission and conditions, to funding, and years later to renewal. Canada Create™ sets up, migrates and manages mortgage CRM systems for brokers, agents, teams and private lenders across Canada, either on CS+, our own CRM, or on the platform you already pay for. This guide explains how a mortgage broker CRM system should work, what it should connect to, what the regulators expect of your records, what it costs and how to choose.

What a mortgage CRM does for a brokerage

A mortgage CRM is a customer relationship management system built around the life of a mortgage rather than a one-time sale. A general sales CRM treats a closed deal as the finish line. For a mortgage broker, funding is the midpoint: the same borrower will need a renewal, may refinance, may buy a second property and will refer friends and family if you stay in touch.

In practical terms, a working mortgage CRM does four jobs:

  • It captures every lead from your website, Google Business Profile, ads, referral partners, phone calls and walk-ins, and assigns it to the right agent within minutes.
  • It tracks every file through the stages of your process, with notes, tasks, documents, outstanding conditions and key dates visible to anyone on the team who needs them.
  • It automates follow-up so that a lead who goes quiet, a borrower waiting on a lender and a past client approaching maturity all hear from you at the right time.
  • It reports on the business: where deals come from, where they stall, which referral partners send funded files and how much renewal volume is coming in the next year.

Without a CRM, this information lives in inboxes, spreadsheets, sticky notes and the memory of whoever handled the file. That works until the brokerage grows past a handful of active deals, an agent leaves, or a five-year term matures and the client renews directly with the lender because nobody called.

The mortgage CRM pipeline from lead to renewal

A mortgage pipeline has more stages than a typical sales pipeline, and each stage has its own tasks and risks. A good build mirrors your real process instead of forcing you into a generic one.

Lead and first contact

Speed of response decides a large share of purchase and refinance leads. The CRM should create the contact record automatically from web forms, landing pages and call tracking, notify the assigned agent, and start a short follow-up sequence by email and text where you have consent. Source tracking starts here, because every later report depends on knowing where the lead came from.

Discovery and pre-approval

Discovery is the stage where you collect income, down payment, credit and property goals. The CRM should hold a structured intake, log the credit consent, store the document checklist and track which items are still outstanding. For pre-approvals, it should record the rate hold expiry date and create a reminder before it lapses.

Live deal and submission

A live deal is the point where a property is under contract or a refinance is ready to go. The CRM records the subject removal date, closing date, lender, product and the file’s status in your deal submission platform. Where the platforms connect, the status updates automatically; where they do not, the CRM gives the agent one place to log it.

Conditions and commitment

Outstanding conditions are where files most often stall. Each condition should be a tracked task with an owner and a due date, visible to the agent, the assistant and the underwriter contact. The borrower should receive clear requests for missing documents without the agent having to write each email by hand.

Funding and closing

Funding is the moment to record final terms: lender, rate, term, amortization, maturity date and compensation. These fields power everything after closing, including renewal reminders, anniversary messages and commission reporting.

Post-funding and renewal

The post-funding stage is the longest and most valuable part of the relationship. A mortgage CRM should keep past clients in a nurture program, flag life events you learn about, and open a renewal opportunity well before maturity so you can review options with the client before the lender’s renewal letter arrives.

Compliance and privacy rules your CRM should support

Mortgage brokers in Canada work under provincial licensing rules and federal privacy, anti-spam and anti-money laundering rules. A CRM does not make a brokerage compliant on its own, but a well-configured CRM makes compliant behaviour the easy path. The points below describe what your system should support; confirm your specific obligations with your regulator, principal broker or compliance advisor, because this section is general information and not legal advice.

Provincial licensing regulators

Mortgage brokering is regulated provincially. In Ontario, the Financial Services Regulatory Authority of Ontario (FSRA) oversees brokerages, brokers and agents under the Mortgage Brokerages, Lenders and Administrators Act, 2006. British Columbia’s regulator is the BC Financial Services Authority, Alberta’s is the Real Estate Council of Alberta, and in Quebec mortgage brokerage falls under the Autorité des marchés financiers. Each regulator sets expectations for record keeping, disclosure and supervision, and your CRM should hold the evidence: disclosure documents, signed consents, supervision notes and a clear history of who did what on each file.

FINTRAC and client identification

Since October 2024, mortgage brokers, lenders and administrators have been reporting entities under Canada’s anti-money laundering legislation, overseen by FINTRAC. That brings obligations around verifying client identity, keeping records and maintaining a compliance program. A CRM can store identity verification records, flag files where verification is incomplete and restrict who can see sensitive documents. It should not replace the procedures your compliance officer sets.

CASL and consent for marketing messages

Canada’s Anti-Spam Legislation (CASL) governs commercial electronic messages. You need express or implied consent, clear identification of the sender and a working unsubscribe mechanism in every message. Implied consent from an inquiry or a completed transaction expires after set periods unless it is converted to express consent. Your CRM should record the type of consent, the date it was given and its source, suppress contacts whose implied consent has lapsed, and honour unsubscribes across every channel.

PIPEDA and Quebec Law 25

Federal privacy law (PIPEDA) and, in Quebec, Law 25 set rules for collecting, using, storing and disclosing personal information. Mortgage files contain some of the most sensitive data a person shares: income, debts, credit history and identity documents. Your CRM should support role-based access, multi-factor authentication, audit logs, secure document storage and a process for access and deletion requests.

How mortgage CRM systems evolved in Canada

Canadian brokers have used deal submission platforms for years to send applications to lenders. Those platforms were built to move a file to a lender, and they hold application data well, but most brokers still ran marketing and follow-up from spreadsheets, email folders and generic contact managers.

The next wave brought mortgage-specific CRMs designed for Canadian brokers. Names that appear in most Canadian comparisons include BluMortgage, Brokeredge, Velocity, Filogix Expert Pro, Jungo, Aidium, Mortgage Dashboard, GoMax and Ownwell, along with US-focused tools such as Total Expert, Surefire, Shape and Whiteboard. Many of these connect to submission platforms and focus on past-client marketing.

At the same time, general CRM platforms such as Salesforce, HubSpot, Zoho and monday.com added industry templates, and brokerages with larger teams started building mortgage workflows on them. Today the choice is less about finding a CRM and more about fitting the CRM to your process, your integrations and your compliance program, then keeping it maintained as the business changes.

Mortgage-specific CRM versus a general CRM

Every mortgage CRM comparison comes down to three routes. The table below compares them on the points that matter most to a Canadian brokerage.

Factor Mortgage-specific CRM General CRM platform CS+ set up by Canada Create™
Pipeline stages Mortgage stages out of the box Built from scratch or from a template Built to your process during setup
Submission platform link Often available, check your platform Usually needs a connector or custom work Scoped during discovery for your platform
Marketing and website leads Varies widely Strong, often with add-ons Connected to your website, ads and Google Business Profile
Customization Limited to vendor options High, needs skill to configure Configured and maintained for you
Who supports you Vendor support team Vendor plus an implementation partner Canada Create™, 24/7* toll-free line
Contract Depends on vendor Often annual plans

A mortgage-specific CRM is a sensible choice for a solo broker who wants ready-made renewal campaigns and little setup. A general CRM suits a brokerage with in-house operations staff and complex reporting needs. A managed CRM is the right fit when you want the system built around your process, connected to your marketing and looked after by people who answer the phone. We also configure and clean up CRMs you already own if switching is not the right call.

Features to require in a mortgage broker CRM system

Feature lists from vendors look alike. These are the capabilities that make a difference once the system is live.

Mortgage-aware data model

A mortgage CRM needs fields for property, lender, product, rate, term, amortization, maturity date, compensation and co-borrowers. If these live in free-text notes, you cannot automate renewals or report on volume.

Conditions and task tracking

Condition tracking turns lender conditions into assigned tasks with due dates, so the agent and assistant see what is outstanding on every file without opening each one.

Secure document collection

Secure document collection replaces email attachments with a portal or upload link tied to the client record, with access controls and a clear list of what is still missing.

Two-way email and text

Two-way communication logs every email and text on the client record, so a colleague covering a file sees the full conversation.

Marketing automation with consent controls

Marketing automation sends newsletters, rate updates, anniversary notes and renewal campaigns, while respecting the consent status stored on each contact.

Referral partner management

Referral partners such as realtors, financial planners, accountants and lawyers need their own records, with the files they sent, the status of each and a simple way to keep them updated.

Mobile access and security

Mobile access matters for agents who meet clients in person. Security matters more: multi-factor sign-in, role-based permissions and an audit trail should be standard, not upgrades.

Reporting that answers real questions

Useful reports show funded volume by source, time in each stage, conversion from lead to application to funding, upcoming maturities and the output of each referral partner.

Integrations with submission, lenders and communication tools

The biggest complaint about any mortgage CRM is double entry. Brokers type the same borrower details into the website form, the CRM, the submission platform and the email tool. Integration planning is where a CRM project succeeds or fails.

The integrations to map during discovery include:

  • Deal submission platform, so application data and file status flow into the CRM where the platform allows it.
  • Website and landing page forms, including pre-approval and renewal forms on a WordPress website.
  • Google Ads and call tracking, so every lead from Google Ads campaigns arrives with its source and cost attached.
  • Email and calendar, so meetings and correspondence are logged automatically.
  • Text messaging, with consent status respected.
  • E-signature and document storage, for disclosures and consents.
  • Accounting or commission tracking, where your brokerage needs it.

We document each integration before we build it: what data moves, in which direction, how often, and what happens when a record conflicts. Where a direct connection is not available, we set up the cleanest workaround and tell you plainly what remains manual.

Data migration and the build protocol

Most brokers come to a new CRM with years of data spread across a previous CRM, spreadsheets, a submission platform and email contacts. That history is where your renewal and referral business lives, so migration deserves care.

Step one: discovery

Discovery maps your process, team roles, lead sources, integrations and compliance requirements. The output is a written build plan you approve before any configuration begins.

Step two: data audit and cleanup

Data audit identifies duplicates, missing maturity dates, inconsistent lender names and contacts without consent records. We agree on rules for merging and flag records that need a human decision.

Step three: configuration

Configuration builds pipelines, fields, permissions, templates and automations in a test environment first. Nothing reaches your clients until you have reviewed it.

Step four: import and verification

Import moves cleaned data in batches, with spot checks against the source after each batch, so you can trust maturity dates and consent status from the first day.

Step five: training and launch

Training is short and role-based: agents learn their daily view, assistants learn condition tracking and document requests, and principals learn the reports. We stay close through the first weeks after launch to fix friction quickly.

Automation for follow-up, conditions, renewals and referrals

Automation earns its keep when it removes routine work without making clients feel processed. These are the automations we set up most often for mortgage brokers.

  • New lead response: instant acknowledgement, agent notification and a short follow-up sequence for leads who do not book a call.
  • Document chase: polite reminders for missing documents, stopped the moment the item is uploaded.
  • Rate hold alerts: internal reminders before a pre-approval rate hold expires.
  • Condition deadlines: alerts to the agent and assistant as a condition due date approaches.
  • Closing and post-funding: a thank-you, a review request and a request for referrals at the right moment.
  • Renewal program: a renewal opportunity opened well ahead of maturity, with a sequence that invites the client to review options before the lender’s offer arrives.
  • Past client nurture: periodic, useful updates that keep you top of mind for refinances, purchases and referrals.
  • Referral partner updates: status notes to realtors and other partners as their files move forward.

Every automation respects consent status and can be paused per contact. A good rule: if a message would feel odd coming from you personally, it should not be automated.

What a mortgage CRM costs

Mortgage CRM pricing is not one number. It is a combination of software licences, setup work and ongoing management, and comparing vendors on the monthly licence alone hides most of the cost. We do not publish a fixed price for CRM work because the scope depends on your team size, integrations and data; we quote after a short discovery call.

Cost component What drives it How it is usually billed
Software licence Number of users, feature tier, add-ons such as texting or advanced reporting Monthly or annual, often per user
Setup and configuration Number of pipelines, automations, templates and permission roles One-time project
Data migration Volume of records, number of sources and how much cleanup the data needs One-time project
Integrations Which platforms connect, whether a native connector exists, custom work needed One-time build plus any connector subscriptions
Training Number of roles and team members Included in setup or billed separately
Ongoing management New campaigns, reporting, user changes, fixes and improvements Monthly
Third-party costs Texting credits, e-signature, call tracking, ad spend for lead generation Paid to the provider, separate from our fees

Ask every vendor for the full cost over a year: licences for your whole team, setup, migration, integrations, training and support. Watch for annual commitments, per-contact limits and features sold as add-ons.

Measuring the return on a mortgage CRM

The return on a mortgage CRM comes from three places: more leads converted, more renewals kept and more referrals received. You can estimate each with your own numbers rather than vendor promises.

Source of return What to measure How to estimate it
Lead conversion Share of leads that reach application and funding Extra funded deals per year multiplied by your average compensation per deal
Renewal retention Share of maturing clients who renew through you Maturing volume next year multiplied by the change in retention and your renewal compensation
Referrals Funded deals from past clients and partners Extra referred deals multiplied by average compensation per deal
Time saved Hours spent on data entry, chasing documents and status updates Hours saved per month multiplied by the cost of that time

A simple example of the arithmetic: compensation is often expressed in basis points of the loan amount, and on a $500,000 mortgage every 10 basis points equals $500. If a CRM helps you fund a few more files or keep a few more renewals each year, you can compare that directly with the full annual cost of the system. Use your own compensation figures and your own history; your results depend on your market, your lenders and your follow-up.

Mortgage CRM solutions for solo agents, teams and lenders

The same core system looks different depending on who uses it.

Solo agents

Solo agents need speed and simplicity: one pipeline, a short daily task list, automated renewal and nurture campaigns and a mobile view for meetings.

Teams with assistants

Teams with assistants need clear ownership of each file, shared condition tracking, internal notes and permissions that let assistants work files without seeing everything.

Multi-agent brokerages

Multi-agent brokerages need lead routing rules, supervision views for the principal broker, compliance records and reports by agent and source.

Commercial and private lending

Commercial and private lending files have longer timelines, more parties and different documents. The CRM needs separate pipelines, investor or lender contacts and date tracking for terms that are often shorter than residential terms.

If your marketing also needs work, our mortgage broker marketing team connects campaigns directly to the CRM, and our SEO service and local SEO work bring in the leads the system is built to convert.

Free mortgage CRMs and the real cost of switching

Free CRM plans exist. Zoho and HubSpot, among others, offer free tiers with limits on users, features or automation, and open-source CRMs can be self-hosted with no licence fee. For a new agent with a small book, a free plan can be a reasonable start.

A totally free CRM is rare once you count the whole cost. Free tiers usually leave out the automation, permissions and reporting a brokerage needs, and self-hosted software still needs hosting, security updates and someone to configure it. The larger cost is time: every hour spent building workarounds, re-entering data or chasing documents by hand.

Switching has its own cost. Before you move, confirm you can export all your data, including notes and history, check whether your current contract has a notice period, and plan migration so maturity dates and consent records arrive intact. We handle that move for you, and if your current system can be fixed instead of replaced, we will say so.

How to choose the best CRM for mortgage brokers

Reviews, comparison lists and forum threads are a useful starting point, but the best mortgage CRM is the one your team will actually use every day. Work through these questions before you sign anything:

  1. Does it match our process? Map your stages from lead to renewal and check that the system can hold them without awkward workarounds.
  2. What connects to what? List your submission platform, website, ads, email, phone and document tools, and confirm each connection in writing.
  3. Can we get our data in and out? Ask for a migration plan and a clear export path.
  4. Does it support our compliance program? Check consent tracking, access controls, audit logs and document security with your compliance officer.
  5. What does a full year cost? Include every user, setup, migration, integrations, training and support.
  6. Who helps when something breaks? Find out whether you get a ticket queue or a person who knows your setup.

Canada Create has been an excellent marketing and branding partner for our dental practice. Their understanding of local SEO, digital marketing, social media, content creation, Google visibility, and AI optimization really stood out to us. A dental practice depends heavily on trust, reputation, patient experience, and being discoverable when someone is searching for a dentist. Canada Create understands how to bring those pieces together and communicate the quality of a practice naturally. I would highly recommend Canada Create to dentists, dental clinics, and other healthcare professionals looking to improve their online presence, local search visibility, branding, and organic growth.

I had a great experience working with this business. They helped me build my tutoring website from scratch and guided me through the entire process. I knew nothing about how the process worked, but they were professional, patient, and incredibly helpful. They took the time to understand what I wanted, handled the setup and design, and made sure everything worked properly. I’m very happy with the final result and would definitely recommend them to anyone who needs help creating a professional website or getting their business online.

We hired Canada Create to help strengthen the online marketing for Marvel Car Clinic and the results have been very positive. They developed our new website and managed the Google Ads strategy around our main automotive services including paint protection film (PPF), vehicle wraps and ceramic coating. The biggest improvement for me has been the overall quality of our online presence. Customers can now clearly see what we offer, the website is much more professional and our advertising is bringing relevant people directly to the services they are searching for. Their team understands conversion and lead generation, not just design. Everything from the website layout to the advertising campaigns feels like it was created with the goal of getting more customers. Great communication, professional work and strong results. I would recommend Canada Create to any Toronto or GTA business looking for Google Ads management, website development and digital marketing.

We’ve had a great experience working with Canada Create on the digital marketing for Marvel Car Clinic. They completely improved our online presence with a professionally designed new website and a much stronger Google Ads strategy. Our business specializes in car wraps, paint protection film (PPF), ceramic coating and automotive protection services, so attracting the right type of customer is extremely important. The Canada Create team took the time to understand our services, our target market and what actually makes a customer contact us. Since launching the new website and Google Ads campaigns, we’ve seen a noticeable improvement in the quality of inquiries coming in. The website looks professional, is easy to navigate and presents our car wrap, PPF and ceramic coating services much better than before. What we appreciate most is that they focus on results instead of simply running ads. Communication has been great, changes are handled quickly and the team is always looking for ways to improve the campaigns. If you’re looking for a digital marketing agency in Toronto for Google Ads, website design and lead generation, I would definitely recommend Canada Create.

Mortgage CRM questions

What is the best CRM for mortgage brokers?

The best CRM for mortgage brokers is the one that matches your process from lead to renewal, connects to your submission platform and marketing tools, supports your compliance program and is actually used by your team every day. Mortgage-specific CRMs suit solo brokers who want ready-made campaigns, general platforms suit larger teams with operations staff, and a managed setup suits brokers who want the system built and maintained for them.

What software do mortgage brokers use?

Most Canadian brokers use a deal submission platform to send applications to lenders, a CRM for leads, follow-up and renewals, credit bureau access, secure document collection, e-signature, email and calendar tools, and often call tracking and accounting software. The CRM is the tool that ties the client relationship together across all of them.

What is a good free CRM for mortgage brokers?

Zoho and HubSpot, among others, offer free plans with limits on users, features or automation, which can work for a new agent with a small book. Most brokerages outgrow free tiers once they need condition tracking, permissions, consent controls and renewal automation.

Is there a totally free CRM?

Open-source CRMs have no licence fee, but they still need hosting, security updates and configuration. Once you count that work and the time spent on manual workarounds, a truly free CRM is rare for a working brokerage.

How much does a mortgage broker make on a $500,000 mortgage?

Broker compensation is usually set by the lender and expressed in basis points of the loan amount, and it varies by lender, product, term and volume, before any brokerage split. As arithmetic only, every 10 basis points on a $500,000 mortgage equals $500. Confirm current figures with your lenders and brokerage.

What is the best CRM for real estate brokers?

Real estate brokers need listing, showing and transaction tools that mortgage brokers do not, while mortgage brokers need conditions, lender data and maturity tracking. Choose a CRM built or configured for the work you do, and connect it to referral partners in the other field.

Can you move our data from our current CRM?

Yes. We audit your existing data, agree on cleanup rules, and import it in verified batches so maturity dates, notes and consent records arrive intact. We also confirm your export options and any notice period before you switch.

Will the CRM connect to our deal submission platform?

We confirm this during discovery for your specific platform. Where a direct connection exists, we set it up; where it does not, we build the cleanest workaround and tell you plainly what stays manual.

Does a CRM help with CASL and FINTRAC obligations?

A CRM can record consent type and date, suppress lapsed contacts, store identity verification records and restrict access to sensitive files. It supports your compliance program but does not replace it, so confirm your obligations with your compliance officer.

Do you work with brokers outside Ontario?

Yes. We work with clients across Canada and the United States, and configure each CRM for the province and regulator you work under.
