How automotive email marketing works for a service shop

A repair shop is a repeat business by nature. Every vehicle on the road needs oil, tires, brakes, inspections and eventually larger repairs, and the owner decides each time where to take it. Consent and CASL rules for auto repair email marketing

Canada’s Anti-Spam Legislation, known as CASL, has applied to commercial electronic messages since July 1, 2014. Every marketing email your shop sends to a Canadian address needs consent, clear identification and a working unsubscribe. This section explains the general rules as we apply them in our builds. It is not legal advice, and a shop with unusual circumstances should confirm its approach with a lawyer.

Express consent

Express consent is a clear, active yes to receiving your emails. It is usually collected with an unchecked box on a booking form, a signed line on a work order, or a verbal yes that your advisor records in the customer file. The request must say who is asking and how to withdraw. Express consent does not expire on its own; it lasts until the customer unsubscribes.

Implied consent from an existing business relationship

Implied consent covers customers who have bought from you or asked you a question. Under CASL, a purchase generally supports implied consent for two years, and an inquiry for six months. That window is why your system should track the last visit date and convert implied consent into express consent whenever you can, for example with a simple checkbox at the next drop-off.

What every email must include

Each commercial email must identify your business, include a mailing address and another contact method, and offer an unsubscribe that works. Unsubscribe requests must be honoured within 10 business days. Transactional messages, such as an appointment confirmation or an invoice, are treated differently from promotional ones, but mixing promotions into them can change how they are viewed, so we keep the two separate.

Privacy of customer data

Customer names, contact details and vehicle records are personal information. Federal privacy law applies to how businesses collect and use them, and Quebec’s private sector privacy law adds its own requirements for businesses serving Quebec customers. In practice, that means collecting only what you need, explaining why, protecting access, and never sharing your list with third parties for their own marketing.

Sending to customers in the United States

Shops near the border or with American fleet clients also send to U.S. addresses. The CAN-SPAM Act in the United States works on an opt-out basis rather than opt-in, but it still requires accurate sender information, a physical address and a working unsubscribe. How shop email has changed, from e-blasts to service triggers

Ten or fifteen years ago, automotive email usually meant an e-blast: one message with a coupon, sent to every address the shop had, a few times a year. Dealer forums from that era are full of owners comparing which blasts brought in a few extra oil changes. The approach worked when inboxes were quieter and filters were simpler.

Three changes made that model weaker. First, most email is now read on phones, which rewards short messages with one clear button. Second, Apple introduced Mail Privacy Protection in 2021, which loads images automatically for many users and makes open rates far less reliable as a measure. Third, Google and Yahoo introduced stricter requirements for bulk senders in 2024, including domain authentication, easy one-click unsubscribes and low spam complaint rates.

The result is that relevance and technical setup now decide whether an email is seen at all. A shop sending a timely, personal reminder from a properly authenticated domain reaches the inbox. A shop sending the same coupon to an old purchased list reaches the spam folder, and may drag its everyday invoice emails down with it.

Building your customer list without buying one

Shop owners often ask where to find an email list for the automotive market, or how to get the email addresses of car owners in their area. The honest answer is that the only list worth sending to is the one you build yourself. Purchased lists rarely carry valid consent under CASL, they contain people who have never heard of you, and they generate spam complaints that damage the reputation of your sending domain.

The front counter at drop-off, the work order, the digital inspection sent by text, the online booking form, the estimate, the invoice and the phone call all create a moment to ask. The question is simple: may we email you service reminders and occasional offers? Record the answer, the date and the method.

Your website booking form, a winter tire storage sign-up and a quote request form are strong sources, because the person is already planning a visit. Most independent shops run shop management software, and most dealerships run a dealer management system. SPF lists the servers allowed to send for your domain. DKIM adds a digital signature that proves the message was not altered. DMARC tells inbox providers what to do with mail that fails those checks and sends you reports. Since 2024, Gmail and Yahoo expect bulk senders to have all three in place. Many shops send from a free email address or an unauthenticated domain, and their invoices land in spam as a result.

List hygiene and sending habits

Remove hard bounces immediately, suppress anyone who unsubscribes, and stop mailing addresses that have shown no activity in a long time. Send at a steady pace rather than in sudden large bursts. Include a one-click unsubscribe; a customer who can leave easily will not press the spam button instead. Drivers read shop emails on their phones, often between other tasks. The best automotive emails are short, specific and built around one action, usually booking a time.

Subject lines

A subject line works when it is specific to the reader. Your Civic is due for its next service is stronger than Spring savings inside. Name the vehicle, the service or the season, and keep it short enough to read on a phone screen. Avoid capital letters and excessive punctuation, which look like spam to readers and filters alike.

Body and design

Open with the reason for the email, state what the service involves and why it matters, and place a clear booking button near the top. Use your shop name and your advisor’s name. Keep images light, since many readers do not load them, and make sure the message still makes sense in plain text.

Offers without training customers to wait

Discounts can fill a slow week, but constant coupons teach customers to wait for the next one. Value offers often work better: a free brake inspection with an oil change, free tire storage for the first season, or a shuttle ride. Save price offers for win-back emails and genuinely slow periods.
