Focused, reliable voice AI
How we build and manage AI voice agents
What an AI voice agent is
An AI voice agent is a voice assistant built to do one defined job on the phone: take after-hours intake, confirm and remind customers about appointments, call back people who hung up before reaching you, answer first-line customer service questions or collect details before a person takes over. It speaks naturally, understands what callers say rather than forcing them through keypad menus, and records a structured summary of every call for your team.
Where an AI receptionist answers your main line and handles whatever comes in, a voice agent is narrower and more focused. That focus is what makes voice agents reliable: a clear task, a short approved script, defined outcomes and firm rules for when to hand over. Most businesses start with one agent for their most repetitive calls and add others once the first is proven.
Canada Create designs, builds and manages voice agents as part of our AI automation services. The voice platforms themselves are widely available; our work is choosing the right one, writing and testing the agent’s scope, connecting it to your phone, calendar and CRM, and improving it from real calls.
Where voice agents pay off
Voice agents are most valuable where calls are frequent, predictable and time-sensitive. These are the jobs we build most often.
After-hours intake
Emergency and after-hours calls answered, the caller’s details and the nature of the problem captured, urgent cases transferred to an on-call person and the rest booked for the next business day.
Reminders and confirmations
Outbound calls or texts confirming upcoming appointments, offering to reschedule and updating your calendar automatically, reducing no-shows without tying up the front desk.
Missed-call callbacks
People who called but hung up are called back promptly, asked what they needed and booked or routed, so a missed call becomes a conversation instead of a lost lead.
First-line customer service
Order status, account questions, service updates and common troubleshooting answered from approved information, with anything else transferred to staff with the details already collected.
Call tracking and reporting come with every agent. You see how many calls it handled, what they were about, how many ended in a booking or resolution and how many were handed over, with transcripts available to your team. Those numbers are compared with the baseline we record before launch, so you can judge the agent on results.
How we build a voice agent
Each agent starts with a single job. In a short discovery we look at the calls that job involves: how many there are, when they happen, what callers say and what outcome counts as success. We write the agent’s script and scope in plain language, including exactly what it may say, what it must ask, what it must never discuss and when it transfers. You approve it before we build.
We then connect the agent to the systems it needs, such as your phone line or a dedicated number, your calendar and your CRM or our CS+ CRM, and test it with realistic calls, including callers who are upset, callers who go off-topic, poor phone lines and callers who need a person urgently. Launch is staged and monitored, and after launch we review calls and refine the script and rules.
Outbound calls, consent and Canadian rules
Inbound agents answer people who called you. Outbound agents, such as reminder and callback agents, contact people, which brings extra responsibilities. We design outbound agents only for customers who have an existing relationship with your business and have provided their number for that purpose, identify your business and the automated nature of the call at the start, and respect Canada’s telemarketing and anti-spam rules for any commercial messages. Voice agents are not used for cold calling.
Privacy is designed in: callers are told they are speaking with an automated assistant, only necessary information is collected, and transcripts and recordings follow your retention rules. Each project documents which telephony and AI providers process the calls and what data they receive.
Spending hours on the same calls every week?Tell us which calls repeat most. We reply within one business day with whether a voice agent can handle them safely and what it would take.
How voice agents fit with the rest of your systems
Voice agents work alongside your other channels rather than replacing them. The AI receptionist answers your main line, the AI chatbot handles website conversations, and voice agents take on specific call-heavy tasks. All of them share the same approved business information and send their results to the same CRM, so your team sees every enquiry in one place, whichever channel it came from.
What businesses are searching for
Google’s keyword estimates for Canada, retrieved in September 2026, show about 260 searches a month for AI voice agent, with clicks averaging around US$21.83, and smaller but very expensive searches such as AI phone agent, where the average click was more than US$130. Those prices reflect how much a working phone automation is worth to businesses that live on calls. They also reflect how many products on the market promise more than they deliver, which is why a careful design and test process matters.
Inbound and outbound: two different jobs
Voice agents handle two kinds of calls. Inbound agents answer when customers call you: they greet callers, answer questions, book or change appointments, take detailed messages and transfer calls to staff. Our AI receptionist page covers inbound calls in detail. Outbound agents make calls on your behalf: confirming appointments, reminding customers about services that are due, following up on quotes or enquiries, filling last-minute cancellations from a waiting list and collecting simple feedback after a visit. Outbound calls are powerful and tightly regulated, so they need more planning.
Outbound use cases that pay back
Appointment confirmations and reminders
No-shows cost clinics, salons, contractors and professional firms real money. A short call the day before, confirming the time and offering to reschedule, reduces no-shows and frees slots for other customers when people cancel. The agent updates your calendar automatically and flags anyone who needs a human follow-up.
Filling cancellations
When an appointment is cancelled at short notice, the agent can call customers on a waiting list who have agreed to be contacted, offer the slot and book the first person who accepts. Slots that would have gone empty are filled without staff making a series of calls.
Following up on enquiries and quotes
People who asked for information or received a quote often need a reminder before they decide. With their consent, the agent can call to check whether they have questions, offer a time to speak with your team and record the outcome. Enquiries that would have gone cold are brought back into the pipeline.
Service reminders and reactivation
Customers due for an annual service, inspection, check-up or renewal can be reminded by phone, with consent, and booked on the spot. For businesses with large customer bases, this recovers revenue that would otherwise quietly disappear.
Canadian rules for automated calls
Outbound calling in Canada is governed by the CRTC’s Unsolicited Telecommunications Rules, which include the National Do Not Call List, telemarketing rules and specific rules for automated calls. Calls made to existing customers about their own appointments or accounts are treated differently from sales calls to people who have not asked to hear from you, and automated calls that promote products or services generally require the person’s express consent. Calling hours, identification of the business and an easy way to opt out are also required. Commercial text messages and emails that follow a call are covered by Canada’s Anti-Spam Legislation.
We design every outbound program to stay within these rules: calling only people with the right relationship or consent, identifying your business and the automated nature of the call at the start, respecting calling hours and opt-out requests, and keeping records. We ask you to confirm the consent basis for each list before any call is made, and we recommend legal review for larger programs. Voice agents are never used for cold calling.
Where a customer list includes people whose consent is unclear, we leave them out of automated calls until the basis is confirmed. It is better to call fewer people correctly than to risk complaints and penalties.
Honest disclosure
People have a right to know when they are speaking to an automated system. Every voice agent we build says so at the start of the call, uses your business name, and offers a way to reach a person or leave a message. Disclosure does not make calls less effective; it makes them more trustworthy. Callers who feel tricked by a system pretending to be human tend to hang up and complain, while those who know what they are talking to usually just want their appointment confirmed quickly.
Natural conversation
Modern voice agents understand normal speech, including interruptions, changes of mind, accents and background noise, and respond quickly enough for conversation to feel natural. They still make occasional mistakes, so we design calls to confirm important details back to the person, send a written confirmation by text or email with consent, and hand over to a person whenever the conversation goes beyond what the agent is approved to handle. Each call type is scripted around a clear goal, with fallback paths for the unexpected.
Connected to your systems
A voice agent is useful only when it can act. We connect it to your calendar or scheduling software so it can see availability and book, confirm or cancel appointments; to CS+, our client management platform, or your existing CRM so every call and outcome is recorded against the customer; and to your phone system so calls can be transferred to the right person. After each call, the agent can send a confirmation or a link by text or email, with consent, and alert staff to anything that needs attention. Call recordings or transcripts, where you choose to keep them and callers are informed, are stored securely for quality review.
Testing and quality control
Before any real customer hears the agent, we test each call type with many realistic scenarios: people who answer in a hurry, speak quietly or with strong accents, change their minds, ask unrelated questions, get upset or ask to speak to a person. We check that the agent discloses itself, stays within its script, handles the calendar correctly, respects opt-outs and hands over when it should. Your team listens to test calls and suggests changes. After launch, we review a sample of calls every week at first, then monthly, and refine scripts and rules continuously.
Measuring results
Reports show the number of calls made and answered, outcomes by call type, appointments confirmed, rescheduled or cancelled, slots filled from waiting lists, leads re-engaged, opt-outs and calls handed to staff. For reminder programs, we compare no-show rates before and after. For follow-up programs, we track how many contacts became customers. These numbers show the return on the system and guide which call types to expand.
We also listen for changes in how customers respond over time. If answer rates fall, opt-outs rise or certain phrasing causes confusion, the scripts, timing or channel mix are adjusted before small issues become complaints.
Where voice agents are not the answer
Some calls should stay with people: sensitive medical, legal or financial conversations, complaints, collections, bad news and anything requiring judgement or empathy. We recommend voice agents only for well-defined, routine calls where speed and consistency help both the customer and the business, and we will tell you plainly if a proposed use is not a good fit.
Voice, tone and languages
You choose how the agent sounds: the voice, pace and level of formality, and the exact wording of greetings and confirmations. A clinic may want calm and reassuring; a trades company friendly and brisk; a professional firm polished and precise. For businesses serving customers in other languages, many voice systems can speak several languages, and calls can be placed in the customer’s preferred language where it is recorded in your system. Every language is tested before use, and complex conversations in any language are handed to staff.
How a voice agent project runs
We start by reviewing the calls you want to automate, the systems involved, your customer lists and the consent basis for each. We agree goals, scripts, escalation rules and calling windows in writing. We then build and connect the agent, test it thoroughly with your team, and launch with a limited group of customers or one call type before expanding. Most first projects go live within a few weeks. Ongoing reviews and improvements are part of the service, not an extra.
Pricing for the service itself is confirmed in writing after the review, with setup and monthly running costs shown separately so you can compare them directly with the staff time and lost revenue the agent is expected to save.
Common voice agent mistakes
We see the same problems in systems businesses bring to us: agents that do not say they are automated, outbound calls to people who never gave consent, calls at inappropriate hours, no way to reach a person, calendars that do not update so bookings clash, scripts that try to do too much in one call and no review of real calls after launch. Each of these damages customer trust and can create legal risk. Careful design, consent checks and regular review avoid them.
Combining voice, text and email
Different customers prefer different channels. Some ignore texts but answer calls; others never pick up an unknown number but reply to a message immediately. The best reminder and follow-up programs combine channels: a text or email first where consent allows, a voice call for people who have not responded, and a human call for the few who still need attention. We design the sequence around your customers and measure which combination produces the most confirmed appointments and re-engaged leads, then adjust it over time.
Examples of calls we automate
Clinics and health practices
Appointment confirmations, reminders for recalls and check-ups, filling cancellations from a waiting list and simple intake questions before a first visit. Calls never discuss clinical matters, confirm only what the patient already knows about their own appointment, and follow health privacy rules.
Home services and trades
Confirming estimate and service appointments, reminding customers about seasonal maintenance such as furnace or air conditioning tune-ups, following up on quotes with customers who asked to be contacted, and asking for feedback after a job.
Professional firms
Confirming consultations, reminding clients about documents needed for a meeting, and following up with enquiries that asked for a call back. Anything touching on the substance of a matter goes to a person.
Automotive, fitness and personal services
Service reminders, class and appointment confirmations, membership renewals for existing customers and waiting-list offers. These businesses often see the quickest return, because missed appointments and lapsed customers are costly and the calls are routine.
Working alongside your staff
Voice agents work best as part of the team rather than a replacement for it. The agent handles the repetitive calls, such as the fortieth confirmation of the morning or the tenth waiting-list call after a cancellation, so staff can spend their time with the customers in front of them and on conversations that need a human. Staff see every call outcome in the CRM, receive alerts when something needs attention and can adjust the agent’s scripts and call lists through us whenever business needs change. We train your team on how the system works and involve them in reviewing calls, because the people who talk to your customers every day are the best judges of whether a call sounds right.
Scheduling calls respectfully
Outbound calls are placed only within the hours permitted by the rules and at times that suit your customers, typically avoiding early mornings, late evenings and holidays. If someone does not answer, the agent can try again a limited number of times or send a text instead, with consent, rather than calling repeatedly. Anyone who asks not to be called again is removed from future calls immediately, and that preference is recorded in your system.
Is a voice agent right for your business?
Voice agents pay off when you make or receive a large number of routine calls, when no-shows or missed follow-ups cost you money, or when staff spend hours on the phone confirming and rescheduling. They are less suitable when call volumes are low or when most calls need personal judgement. The free review looks at your call volumes, no-show rates and follow-up process and tells you whether a voice agent is likely to pay back, or whether text reminders or better scheduling would solve most of the problem first at a lower cost.
Owning your voice agent
Your phone numbers, customer data, call records and scripts belong to your business. We document the configuration and integrations, hand over access to the accounts involved and avoid tying you to a single provider where possible. If you ever change direction, you keep everything you need to continue.
What a voice agent costs
Setup covers discovery, scripting, integrations, testing and launch, quoted as a fixed fee per agent once the scope is clear. Running costs cover phone numbers, call minutes and AI usage, which depend on call volume; they are itemized separately. After a free consultation we give you both in writing, with a monthly estimate based on your real call numbers.

AI voice agents: questions we answer every week
What is an AI voice agent?
A voice assistant built to do one defined phone job, such as after-hours intake, reminders or missed-call callbacks, with an approved script, clear outcomes and rules for handing over to a person.
How is a voice agent different from an AI receptionist?
A receptionist answers your main line and handles whatever comes in. A voice agent is narrower and focused on one task, which makes it reliable for high-volume, predictable calls.
Can voice agents make outbound calls?
Yes, for customers who have a relationship with your business and provided their number for that purpose, such as appointment confirmations and callbacks. We do not build agents for cold calling.
Will callers know it is AI?
Yes. Every agent identifies your business and the automated nature of the call at the start.
What happens if a caller needs a person?
The agent transfers the call or books a callback according to the rules you approve, with the details already collected.
Which voice platform do you use?
It depends on your calls, languages, integrations and data requirements. We recommend a platform after the consultation and document what data it receives.
Can it update our calendar and CRM?
Yes. Agents can book, confirm and reschedule appointments and create or update records in your CRM or our CS+ CRM.
Is it suitable for clinics and law firms?
Yes, for administrative calls. Agents never give clinical or legal advice and route such questions to qualified staff.
How much does a voice agent cost?
A fixed setup fee per agent quoted after the consultation, plus running costs for numbers, minutes and AI usage that depend on call volume and are itemized separately.
How long does setup take?
Most agents are live within three to four weeks.
Can we start with one agent and add more?
Yes, and we recommend it. Start with your most repetitive calls, prove the results, then add agents for other call types.
How do we start?
