Email campaign guide

What managed email campaigns involve and how to choose a partner

Email campaign management means handing the ongoing running of your email to a team that plans each send, picks who gets it, writes and builds it, gets your approval, tests it, sends it at a sensible time, keeps the list clean and reports what happened. It is for owners and marketing managers who know email matters to their business but cannot find the hours to send consistently, or who send often and have no idea which campaigns actually produced bookings, orders or replies. Canada Create is a Toronto agency at 126 Willowdale Avenue that provides managed email campaigns for businesses across Canada, run inside an email platform and list held in your own name.

Contents

What managed email campaigns cover

Owners who search for managed email marketing or an email campaign agency are usually stuck at one of two points. Either sends happen in bursts, three in one month and then nothing until the next sale, or they go out regularly but nobody has time to ask whether they are working. Campaign management fixes the rhythm and the follow through. You approve a plan, we run it, and every month you see what each send did.

The jobs inside the service

  • Planning the campaigns for the season ahead, tied to your launches, events and quiet periods.
  • Deciding which part of your list should get each campaign.
  • Writing the copy, building the email and preparing the landing link.
  • Sending drafts to you for approval and making the changes.
  • Test sends to phones and common email apps before anything goes to your list.
  • Choosing send days and times, and testing subject lines where the list is big enough.
  • Removing bounced addresses, handling unsubscribes and keeping consent records in order.
  • Watching spam complaints and inbox placement signals after each send.
  • A monthly report that puts clicks, replies and sales ahead of open rates.

What it is not

Campaign management is about the sends themselves, one after another, across the year. Designing the reusable template those sends are built in is covered by our Email newsletter design service, and companies that sell to other companies and need email organized by buyer role and account stage should look at B2B email marketing. If you only need a single announcement sent once, that is a small project rather than ongoing management.

A campaign calendar built on your business year

The calendar is the first thing we write, because it turns email from a task you remember into a plan you approve. It starts from your business year, not from a generic list of holidays.

Anchors first

We begin with the dates that already drive your revenue: a spring product launch, a fall open house, the week before a registration deadline, the slow stretch after the holidays when a clinic or studio has open appointments, the patio opening, the back to school rush. Each anchor becomes a campaign or a short run of two or three sends: an early announcement, a reminder and a last call.

Filling the gaps with useful sends

Between anchors, the calendar plans sends that keep people interested without asking for money every time: a how to guide, a behind the scenes story, a customer question answered, a staff introduction. A list that only hears from you when there is a discount learns to wait for discounts.

Frequency you can sustain

How often to send depends on how much you have to say and how your list reacts. A florist may send weekly before Valentine’s Day and Mother’s Day and monthly the rest of the year. A renovation company may send once a month all year. The calendar sets a rhythm, and the monthly report tells us whether unsubscribes or complaints suggest it is too much.

Choosing who receives each send

Sending every campaign to everyone is the fastest way to train readers to ignore you. Each campaign on the calendar names its segment: the group of contacts it is for.

Segments that often matter

  • Recent buyers or clients, who need care tips, add on offers or a review request rather than the launch they already bought from.
  • People who enquired but did not buy, who may need answers to common objections.
  • Past customers who have gone quiet, who might respond to a reminder of what is new since their last visit.
  • Location or area, so a Mississauga event invitation does not go to readers in Ottawa.
  • Language, so French readers get the French version.
  • Interest, based on what people signed up for or clicked before.

Segments limited by your data

Segments are only as good as the fields behind them. If your list has an email address and nothing else, the first months of management include small steps to learn more, such as adding a preference link or tagging contacts by what they click. We tell you plainly which segments your data supports today and which would need better sign up forms or a connected CRM.

Writing, building and approving each campaign

Each campaign starts with a short brief: the goal, the segment, the single action the reader should take, the offer or story, and the page the link goes to. Writing a brief first keeps a campaign about one thing.

Writing and building

We write the subject line, the preview text and the body copy in your voice, then build the email in your existing template. If your template is broken or missing, we flag it and, with your approval, build a simple working one so sends are not delayed. Every image carries alt text and every word that matters is live text, so the message survives when images are blocked.

Approvals that do not stall the calendar

Before anything is sent, you or the person you name receives the draft as a test email and a link to review it. We agree up front who approves, how many rounds are normal and what happens when the approver is away, so a send planned for Tuesday does not slip to the following month. Businesses in regulated professions, such as a law firm, a clinic or a financial adviser, can add a compliance reviewer to the approval step.

The landing page matters too

A campaign that sends readers to a homepage asks them to find the offer again. Each send links to the exact page that matches its promise. If that page does not exist, we can suggest one, and a dedicated landing page can be built for bigger campaigns.

Test sends, send timing and subject line tests

Test sends

Every campaign goes as a test to real phones and to the common desktop and web mail apps before it reaches your list. We click every link, check the unsubscribe, read the preview text, confirm that personal fields such as a first name fill in correctly and fall back gracefully when the field is blank, and make sure the French version, if there is one, is not carrying English leftovers.

Choosing when to send

There is no universal right hour. A restaurant’s weekend offer belongs earlier in the week, before people make plans. A home service company might do better on a weekend morning when homeowners look at projects. A list of office managers may read during work hours. We start with a reasonable choice for your audience, then compare results over several sends rather than trusting any single one.

Subject line tests where the list allows

Many email platforms can send two subject lines to small parts of a list and send the winner to the rest. That only tells you something when the list is large enough for the difference to be more than chance, and when the winner is judged on clicks rather than opens. On a small list, we skip formal tests and instead compare subject line styles across months.

List hygiene and consent records

A list is not an asset if it is full of dead addresses and people who forgot they signed up. Regular hygiene protects your sender reputation and keeps reports honest.

What gets cleaned

  • Hard bounces, addresses that do not exist, are removed after the send.
  • Repeated soft bounces, such as full mailboxes, are suppressed after a pattern shows.
  • Unsubscribes are honoured promptly and those contacts are kept on a suppression list so an old import cannot add them back.
  • Contacts inactive for a long time receive a short re engagement message, and those who still do not respond are moved out of regular sends.
  • Duplicates and role addresses are reviewed so one person does not receive the same campaign twice.

Consent records you can show

For each contact, your platform should hold how and when they joined: the website form, the in store sign up, the event registration, a purchase. When a contact came in through a paper sheet or a trade show, we keep a note of the source and date. Imported lists with no record of consent are not added until you can explain where they came from. This record is what lets you answer the question “Why am I getting this?” with confidence.

Watching complaints and deliverability

Deliverability is whether your campaign lands in the inbox, the promotions tab or the junk folder. It depends on your sending domain, your list quality and how readers react to what you send.

Signals we watch after each send

  • Spam complaints, when readers mark the email as junk instead of unsubscribing.
  • Bounce rates that suddenly rise, which can mean an old segment or a bad import.
  • Sharp drops in clicks from one mailbox provider, which can mean you are landing in junk there.
  • Unsubscribes that jump after a particular kind of campaign.

Practical fixes

Many deliverability problems have plain causes: sending from a domain that has not been authenticated in your platform, sending to people who never asked, sending far more often than readers expect, or a sudden large send after months of silence. We check that your sending domain is set up correctly with your platform, slow down sends to old segments and ease a quiet list back in rather than blasting it. Where domain settings need your website host or IT provider, we tell you exactly what to ask for.

Reporting on clicks, replies and sales

Open rates used to be the headline number in every email report. They are much less reliable now, because privacy features in some email apps load images in advance, which can count an email as opened when nobody read it. Some workplace security filters also open links to check them. We still show opens, but we do not judge a campaign by them.

What the monthly report leads with

  • Clicks and click through by link, showing which story or offer people actually chose.
  • Replies, when a campaign asks a question or invites a booking by reply.
  • Sales, bookings or registrations that can be traced back to the campaign through links your website or store can read.
  • Unsubscribes and complaints for each send, as a check on frequency and fit.
  • List growth: new consented contacts minus removals.

What we recommend next

Each report ends with plain recommendations for the next month: a segment to send to less often, a type of story that drew clicks, a landing page that lost people, a sign up form that needs work. You approve the next month’s calendar with that in front of you.

How campaigns connect to your other marketing

Managed campaigns are one part of our wider email marketing work, and they work well when they share a plan with the rest of your marketing. Social posts can point to the same launch, ads can grow the list, and your website forms decide how cleanly new contacts arrive. Our social media management team can line up posts with the email calendar, and our content writing service can produce the longer articles that campaigns link to.

Lists, CRM and stores

If your contacts live in several places, such as a store, a booking system and a spreadsheet, we help you decide which one is the master list. CS+ is our CRM, and we set it up and connect it to your email platform through our CRM setup work. Online stores that want product emails run from their store platform can read about email marketing for Shopify stores, and real estate agents who send listing updates have their own newsletters for real estate agents service. Triggered emails such as welcome series are scoped separately on request.

Consent and privacy rules for each send

Campaign management is where the rules get applied week after week, so they are built into the routine instead of checked once.

  • CASL. Canada’s anti spam law covers commercial email. In general, you need express or implied consent from each contact, each campaign must identify who sent it and how to reach you, including a mailing address, and it must include a working unsubscribe that is honoured promptly. Implied consent, such as from a recent purchase, can expire, which is one reason consent records and regular list reviews matter.
  • PIPEDA. Contact details and any notes about customers are personal information. In general terms, collect only what you need, explain how you use it, keep it secure and limit who on the team can export the list.
  • Accessibility. Real text, alt text, readable sizes and good contrast follow the WCAG approach and help readers who use screen readers or magnification.
  • Quebec. Sending to Quebec readers can bring French language and Quebec privacy requirements into scope.

This is a marketing observation, not legal advice. For specific questions about your consent wording or your list’s history, speak with your own lawyer.

How we take over your email campaigns

Every engagement starts with a free review of your email account: your list size and sources, recent campaigns, bounce and complaint history, the template you send in and how sends tie back to your website or store.

  1. Free review. A look at your platform, your list and your last few campaigns, and a conversation about your business year.
  2. Written proposal. Sends per month, segments, approvals, reporting and fees quoted in writing.
  3. Setup and clean up. Access in your account, a first list clean, consent notes, domain checks and the first calendar for your approval.
  4. Running the calendar. Briefs, drafts, approvals, test sends and sends, as agreed.
  5. Monthly reporting. Results by campaign, list health and recommendations, followed by the next month’s calendar.

Your platform, your list

We work inside an email platform account registered to your business, with our access added as users you can remove. The list, the consent records, the templates and every report stay with you. If you bring email back in house, nothing needs to be exported from us.

What email campaign management costs

Email campaign management is quoted in writing after the free review. The fee follows the amount of work each month.

What drives the quote

  • How many campaigns go out each month, and how many segments or versions each one needs.
  • Whether we write all copy or edit copy your team provides.
  • Whether campaigns run in English only or in English and French.
  • How much clean up the list needs at the start, especially if consent records are missing.
  • How many approvers are involved, and whether a compliance review step is required.
  • Whether landing pages, photos or graphics are needed for campaigns.
  • How detailed the reporting needs to be, for example sales by campaign from a connected store.

Your email platform subscription is paid to the platform and shown separately from our fees. Platform pricing usually depends on how many contacts you store and how many emails you send, which is another reason a clean list matters.

How to choose a campaign management partner

Anyone can press send. What you are hiring is judgment about what to send, to whom and when, and the discipline to clean, check and report every month. Questions worth asking:

  • Will you plan a calendar from our business year, or send whatever is ready that week?
  • How will you decide which segment gets each campaign?
  • Who approves each send, and what happens if the approver is away?
  • What do you remove from our list, and how do you keep consent records?
  • Which numbers lead your monthly report, and why not open rates?
  • What will you do if spam complaints or bounces rise?
  • Who owns the accounts? The answer should be you, along with the list, the consent records and every report.

A partner who answers these plainly is treating your list as your property. More about our team and how we work is on the about Canada Create page.

Email campaign management questions

How do we run an email marketing campaign properly?

Decide the goal and the one action you want, pick the segment of your list it suits, write a clear subject and short body, link to a page that matches the promise, send tests to phones and common apps, get approval, send at a sensible time for that audience, then review clicks, replies, sales, unsubscribes and complaints before planning the next one.

Is email marketing still worth it?

For many businesses it remains one of the few channels where you reach people who asked to hear from you, without paying for each view. It works when the list is consented and clean, the sends are relevant to each segment and the results are judged on clicks and sales. A neglected list or a send to everyone every week is where it stops paying off.

How much does an email campaign cost?

Our management fee is quoted in writing after a free review and depends on how many campaigns go out each month, how many segments or languages each needs, whether we write the copy and how much list clean up is needed. Your email platform subscription is a separate cost paid directly to the platform.

How much does it cost to send ten thousand emails?

The sending cost comes from your email platform, and many platforms price by the number of contacts you store, the number of emails you send, or both. Prices change and differ by plan, so check your platform's current pricing. Cleaning out bounced and long inactive contacts can lower that bill as well as improve deliverability.

Is mass emailing illegal in Canada?

Sending to a large list is not illegal in itself. What matters under CASL, in general terms, is that each recipient gave express or implied consent, that every email identifies the sender with contact details and that a working unsubscribe is honoured promptly. Sending to purchased or scraped lists is where businesses tend to get into trouble. This is not legal advice.

Which email platform should our business use?

The right platform depends on your list size, whether you sell online, whether you need French and English versions, how your CRM or store connects and your budget. We do not push a particular product. If you already have a platform that does the job, we usually run campaigns there rather than moving your list.

Why do you not judge campaigns by open rate?

Privacy features in some email apps load images in advance, which can register an email as opened even if nobody read it, and some workplace filters open emails to scan them. That makes open rates unreliable. Clicks, replies, bookings and sales show what readers actually did, so the monthly report leads with those.

How often should we send campaigns?

Send as often as you have something worth reading, and watch how the list reacts. Many businesses send monthly with extra sends around key dates. If unsubscribes or spam complaints rise after a busier stretch, slow down or narrow the segment. The calendar sets the rhythm in advance so frequency is a decision rather than an accident.

What is list hygiene and why does it matter?

List hygiene is the regular removal of addresses that bounce, people who unsubscribed and contacts who have not engaged for a long time, plus checking for duplicates. A clean list protects your sender reputation, keeps more of your email in inboxes rather than junk folders, makes reports more honest and can reduce what you pay your platform.

Do we keep our list if we stop working with you?

Yes. Campaigns run inside an email platform account registered to your business, and our access is added as users you can remove. The list, consent records, templates, past campaigns and reports all stay in your account. Nothing has to be handed back or exported from us.

Can you run campaigns in English and French?

Yes. Our team works in English and French. Bilingual campaigns can be sent as separate versions to language segments, which usually reads better than a single email with both languages stacked. Each version is tested on its own, because French text often runs longer and can change how a layout looks.
